Prepare for Course Data Integration

Identify Your PowerSchool Student Information System (SIS) Version

You must have at least PowerSchool SIS version 21.11.1.

  • You do not need to take any action if you use PowerSchool SIS version 22.5 or higher.
  • You must download a plugin during the integration setup process if you use SIS version 21.11.1 up to but not including 22.5.
Naviance recommends upgrading to SIS version 22.5 or higher if you do not use at least SIS version 21.11.1. Contact PowerSchool Support for more information.

Review the Field Mapping Information

Learn more about the PowerSchool SIS fields typically used for Course Planner and how they match with Naviance fields.

Identify and Create Subject Areas

Identify the Naviance subject area and the School Course for the Exchange of Data (SCED) Subject Code for any courses to be imported. Create the Subject Areas in Naviance prior to the import.

If you have previously entered SCED Subject Areas manually in Naviance, verify that the SCED Subject Areas are stored in your SIS. If not, you must create new subject areas in Naviance that align with the subject areas used in your SIS.

Confirm School ID Numbers

  1. From Naviance District Edition, navigate to the gear icon and select Setup.
  2. Select School IDs.
  3. Confirm that the ID numbers entered for each school are the same as the school id numbers in your district's student information system (SIS).

    If the School ID in Naviance does not match the ID number in your SIS, your Student Course Data will not import correctly.
  4. Optionally, select edit, enter the correct ID number, and then click Update IDs.

Review Data Fields for Courses

Review data in your PowerSchool SIS to answer the following questions to identify where data points are stored. Your answers will drive the import and field mapping in Naviance for your course catalog.

Update course data fields in your SIS if no data exists for a field you want to import.
  1. Do subject areas populate the Department field, the Subject Area field, or a custom field?
  2. Are CTE courses identified? If yes, is [Courses]IsCareerTech, [Courses]Vocational, or a custom field used to identify this information?
  3. Are course descriptions included in the Course Description field? If yes, is [Courses]Sched_FullCatalogDescription or a custom field used to identify this information?
  4. Is instructional level assigned to courses? If yes, is Digits part of Course_Number or a custom field used to identify this information?
  5. Are state ID numbers assigned to courses? If yes, is [CoursesCoreFields]Alt_Course_Number, Digits part of Course_Number, or a custom field used to identify this information?
  6. Is prerequisite text included for courses? If yes, is [CoursePreReqRule]Note or a custom field used to identify this information?
  7. Are prerequisite ID numbers assigned to courses? If yes, is [CoursePreReqRule]RuleExpression or a custom field used to identify this information?
  8. Are corequisite ID numbers assigned to courses? If yes, is [CoursePreReqRule]RuleExpression or a custom field used to identify this information?
  9. Are recommendation requirements identified for courses? If yes, is [CoursePreReqRule]RuleExpression or a custom field used to identify this information?
  10. Are courses identified as repeatable? If yes, is [ScheduleCourseCatalogs]Sched_RepeatsAllowed, [School_Course_Sched_Parm]Allow_Std_Rpt_Diff_Term, or a custom field used to identify this information?
  11. Are course equivalencies assigned to course? If yes, is [CourseEquivalency]Course_Number_Equivalent or a custom field used to identify this information? Import course equivalencies for courses not included in a plan of study.

Verify Fields for the SIS Export from PowerSchool SIS

Test the column fields for your SIS export by identifying the field names and confirming that the data populates correctly.

  1. From your PowerSchool SIS, select Importing & Exporting, then choose Data Export Manager.
  2. Select columns to export from the Export From list.
  3. Select the data fields to export and follow the prompts to complete the export.

Disable Secure File Transfer Protocol (SFTP)

If using SFTP for automated Course Planner imports, inactivate the SFTP integration.
