Set Up Alumni Tracker

To set up Alumni Tracker:

  1. Assign staff user role permissions.
  2. Ensure the required student attributes are in Naviance.
  3. Send alumni data to the National Student Clearinghouse (NSC).

Assign Staff User Role Permissions

District

Assign the following permissions to district-level user roles so staff can access and manage Alumni Tracker in Naviance.

Assign the following permissions to school-level user roles so staff can access and manage Alumni Tracker in Naviance.

Ensure Required Attributes are in Naviance

Before submitting alumni data to the NSC, you must ensure that student records include the following information:

  • First Name
  • Last Name
  • Class Year
  • Student ID
  • Date of Birth
  • FERPA Block Requested
  • Diploma Type
  • Graduation Date

Review the Alumni Tracker Attribute Import Fields page for more details. If necessary, update student data via a manual data import or an automated data import via SchoolSync.

To exclude a student from the alumni profiles that you are sending to the NSC, leave the Graduation Date field for that student. Naviance does not send students without a graduation date to the NSC.

Send Data to the Clearinghouse

Initially, send alumni data for the last eight alumni classes. After that, send only the most recent graduating class. Naviance recommends sending alumni data for the most recent graduating class each year after July 25.

Ensure the required attributes are in Naviance before sending data to the NSC.
  1. Navigate to the gear icon, select Setup, and then select Alumni Tracker.
  2. Select Prepare an Alumni Profiles File.
  3. Review the Overview page and then click Prepare Alumni Files.
  4. Select the class year to send to the NSC and then click Generate & Review File.
  5. Optionally:
    • Click Review File to verify the data you are submitting or
    • Click View Error Log to review and fix any errors. Return to each student folder to correct the errors or complete a data update to update the student records and then prepare the alumni profiles file again.
  6. Click Send file.
  7. Review the Confirmation page.

The NSC sends alumni data three times per year, in the fall, spring, and summer.

If you send alumni files for previous class years to the NSC, the NSC returns data for those classes within 5 to 10 business days. However, if you send alumni files for previous class years close to the fall, spring, or summer release dates, the NSC may delay the return and include the data with the fall, spring, or summer data release.
