Set Up Journals

To set up journals:

  1. Assign staff the desired user role permissions in Naviance.
  2. Enable time tracking if you want to log time spent on various activities.
  3. Add journal folders to keep journal entries created by staff organized.

Assign Staff User Role Permissions

Assign the following permissions to user roles so that staff can access career information in Naviance.

User Role Permission

Description

View journal

View journal entries in the student folder or Journal Dashboard, if shared.

The Job Function must be set to Guidance Counselor in the staff user account.
Add or edit journal entries

Add or enter journal entries in Naviance.

Access journal managerSet up journals.
The journal feature is always available for students and cannot be disabled by staff in Naviance.

Set Up Time Tracking

Time-tracking journal entries lets counselors log time spent on various activities. After enabling the feature, you can customize the activity list and edit journal folders. Your school or district can also create time-tracking activities and provide a folder structure for those entries.

Enable Tracking Time in Journal Entry

  1. From Naviance, navigate to the gear icon and select Setup.
  2. Select Preferences, then choose Journal and Time Tracking.
  3. Select Enable Time Tracking in Journals.
  4. Click Save.

Add Time Tracking Activities

  1. From Naviance, navigate to the gear icon and select Setup.
  2. Select Preferences, then choose Journal and Time Tracking.
  3. From Options, select Add Activity.
  4. Enter an Activity Name.
  5. Choose an option from the Category list.
  6. Click Save and Add Another or Save and Finish.

Edit Time Tracking Activities

  1. From Naviance, navigate to the gear icon and select Setup.
  2. Select Preferences, then choose Journal and Time Tracking.
  3. From Time Tracking Activities, select edit for the desired activity.
  4. Enter an updated Name.
  5. Click Update Activity.

Delete Time Tracking Activities

  1. From Naviance, navigate to the gear icon and select Setup.
  2. Select Preferences, then choose Journal and Time Tracking.
  3. From Time Tracking Activities, select delete for the desired activity.
  4. Click OK.

Journal Folders

Add Journal Folders

  1. From Naviance, navigate to the gear icon and select Setup.
  2. Select Preferences, then choose Journal and Time Tracking.
  3. From Options, select Add Journal Folders.
  4. Enter a Folder Name.
  5. Click Save and Add Another or Save and Finish.

Edit Journal Folders

  1. From Naviance, navigate to the gear icon and select Setup.
  2. Select Preferences, then choose Journal and Time Tracking.
  3. From Options, select View Journal Folders.
  4. From the list of journal folders, select edit for the desired folder.
  5. Enter an updated Name.
  6. Click Update Folder.

Delete Journal Folders

  1. From Naviance, navigate to the gear icon and select Setup.
  2. Select Preferences, then choose Journal and Time Tracking.
  3. From Options, select View Journal Folders.
  4. From the list of journal folders, select delete for the desired folder.
  5. Click OK.
