Set Up Work-Based Learning

To set up Work-Based Learning:

  1. Assign staff user role permissions.
  2. Select Naviance Student settings.
  3. Edit time zone settings.
  4. Add organizations
  5. Add opportunities
  6. Publish opportunities

Assign staff user role permissions

Districts

Assign the following permissions to district-level user roles so that district staff can access Work-Based Learning in Naviance.

These permissions are assigned to the District Site Manager user role by default.

Manage work-based learning opportunities in Naviance.

If you do not want schools in your district to create and publish school-level opportunities or to publish any shared district-level opportunities, unassign the permission to Add/edit/cancel/delete work-based learning from the school site manager user role.

Schools

Assign the following permissions to school-level user roles so school staff can access Work-Based Learning in Naviance.

These permissions are assigned to the built-in School Site Manager user role by default.

Add/edit/cancel/delete work-based learning

Manage work-based learning opportunities in Naviance.

Select Naviance Student settings

Select the following grade-level features so students can access Work-Based Learning opportunities in Naviance Student.

If Work-Based Learning is not enabled by grade level, you can only create work-based learning opportunities in draft mode. You cannot select grade-level availability for opportunities. After enabling Work-Based Learning by grade level, you can edit draft opportunities, select grade level availability, and publish the opportunity.

Activates grade-level options when creating work-based learning opportunities in Naviance.

Edit time zone settings

Before using Work-Based Learning, confirm that the time zone is set in school-level Naviance accounts.

Even if the current time zone settings are correct, re-select the GMT Offset, and then click Update, to ensure that Work-Based Learning displays opportunity times correctly. Naviance does not automatically update time for daylight savings. If observed, update time zone settings twice a year to activate and inactivate daylight savings time.
  1. Navigate to the gear icon, and then select Setup.
  2. Choose Preferences.
  3. Select Set Time Zone.
  4. Review the date and time for accuracy.
  5. Select the time zone of your school.
  6. Select Half Hour Adjustment, if needed.
  7. Choose Daylight Saving Active or Inactive from the Daylight-Saving menu.
  8. Click Update.

Add organizations

Add organizations before creating work-based Learning opportunities or in-line while creating an opportunity.

  1. Navigate to Careers, and then select Work-Based Learning.
  2. Click Manage Organizations, then click Add Organization. If adding an organization for the first time, click Add Organization instead of Manage Organizations.
  3. Enter information about the organization.
  4. Click Save. You can select the organization when adding opportunities.

Add opportunities

  1. Navigate to Careers, and then select Work-Based Learning.
  2. Click Manage Opportunities, then click Add Event. If adding an organization for the first time, click Add Event instead of Manage Opportunities.
  3. Enter information about the opportunity.
  4. Click Save, Publish, or Share, depending on your account.
    • Click Save if you will publish the opportunity later.
    • From a school-level account, click Publish to save and publish the opportunity immediately.
    • From a district-level account, click Share, then:
      • Click OK to share the opportunity with schools and allow schools to publish it.
      • Select Share and Publish to Students, then click OK to share and publish the opportunity with schools.

Edit opportunities

Edit opportunities until the opportunity's end date, whether in draft mode or published.

  1. Navigate to Careers, and then select Work-Based Learning.
  2. Click Manage Opportunities.
  3. From the Actions list, choose Edit for the selected opportunity.

    School users cannot publish district-level shared opportunities, even when the user is assigned the school-level permission to Add/edit/cancel/delete work-based learning.
  4. Edit the opportunity details.
  5. Click Save, Publish, or Share, depending on your account.
    • Click Save if you will publish the opportunity later.
    • From a school-level account, click Publish to save and publish the opportunity immediately.
    • From a district-level account, click Share, then:
      • Click OK to share the opportunity with schools and allow schools to publish it.
      • Select Share and Publish to Students, then click OK to share and publish the opportunity with schools.

Share and publish opportunities

  1. Navigate to Careers, and then select Work-Based Learning.
  2. Click Manage Opportunities.
  3. From the Actions list, select Edit for the desired opportunity.
  4. From a district-level account, click Manage Schools, select schools with which to share the opportunity, then click Save.
  5. From a school account, click Publish. In a district account, click Share, then:
    • Click OK to share the opportunity with schools and allow schools to publish it.
    • Select Share and Publish to Students, then click OK to share and publish the opportunity with schools.

      If the Publish button is inactive, click Edit and finish adding information for the required fields.

Publish district opportunities at the school level

If you are part of a district managing Work-Based Learning and district-level opportunities are shared with your campus, you can publish opportunities to make them available for students.

  1. Navigate to Careers, and then select Work-Based Learning.
  2. Click Manage Opportunities.
  3. Select the desired opportunity name.
  4. Click Publish.
  5. Click Save Changes to confirm publishing the opportunity.

Delete or cancel an opportunity

Cancel shared opportunities or delete opportunities in draft status. District opportunities cannot be canceled or deleted at the school level.

  1. Navigate to Careers, and then select Work-Based Learning.
  2. Click Manage Opportunities.
  3. From the Actions list for the desired opportunity, select Cancel or Delete.
  4. Click Delete to confirm canceling or deleting the opportunity.
