Assign staff user role permissions

District

Assign the following permissions to district-level user roles so that district staff can access Success Planning features in Naviance.

User can assign students tasks and programs from the Planner library.

Assign the following permissions to user roles so that staff can access Success Planning features in Naviance.

User can assign students tasks and programs from the Planner library.

Select Naviance Student settings

Select the following features so students can access the Success Plan section and related features in Naviance Student.

Manage standards

You can align Naviance tasks to standards if needed. The American School Counselor Association (ASCA) Mindsets and Behaviors for Student Success standards are available in Naviance by default. Additionally, you can add state, district, or school standards.

Before adding standards, you must create standard categories.

Create standard categories

  1. Navigate to Planner and select Configuration.
  2. Select Manage standards.
  3. Select Standard Categories.
  4. Click Add Standard Category.
  5. Enter a Category Name and then click Save.

Add standards

  1. Navigate to Planner and select Configuration.
  2. Select Manage standards.
  3. From Standards, click Add Standard.
  4. Enter a Name, select a Category, and then click Save.

Change success plan label

Change the name of the Success Plan section in the student folder to align with the terminology used by your school or district.

The Success Plan label can only be changed at the school level.
  1. Navigate to Planner and select Configuration.
  2. Select Change Success Plan label.
  3. Enter a Success Plan label and then click Save.

Manage tasks

Populate built-in tasks

Navigate to Planner and select Dashboard. After accessing the dashboard for the first time, built-in tasks populate the Tasks page.

Edit a Task

  1. Navigate to Planner and select Tasks.
  2. Select edit for the selected task.

    While school accounts display district-level tasks, they can only be edited at the district level.
  3. Edit the task details and then click Save.

    • If you are editing a built-in task, Naviance recommends customizing the Requirement and Deadline Type.
    • For certain tasks, you can change the threshold value for the Action that marks the task as completed.
    • To make all deadline types available for selection, you must select Any/does not matter for grade levels.
    • Select specific grade levels to create a recurring task.
    • Review the Completion Trigger to understand what students must do to automatically mark the task completed.


Recurring tasks

A recurring task is one that you want students to complete in more than one grade level. For example, if you want students to complete a college search in grade 11 and in grade 12, select grades 11 and 12 in the task details. When you assign the task, it is automatically assigned to students for each grade level selected in the task details. A task to be completed in a future grade level is referred to as a future or upcoming task.

Naviance recommends setting the grade level to any/does not matter when you only want a student to complete a task once.

When a task does not support recurrence, the task is marked complete as soon as the student completes the action.

The following tasks do not support recurrence:

  • Add careers to my list
  • Add career clusters to my list
  • Add colleges to my list
  • Apply for scholarships
  • Apply to college
  • Attend college visits
  • Take ACT
  • Take AP
  • Take EXPLORE
  • Take PLAN
  • Take PSAT
  • Take SAT
  • Take SAT subject test

Copy a district-level task

If your district has shared a task with schools, you can copy the task, and then customize it for your school.

  1. Navigate to Planner and select Tasks.
  2. Select copy for the selected task.

  3. Edit the task details and then click Save.

Create a custom task

  1. Navigate to Planner and select Tasks.
  2. Click Add Another Task.

  3. Enter the task details.

    • You cannot modify the assignee after the task is created. To modify the assignee, delete the task and recreate the task with the correct assignee.
    • To make all deadline types available for selection, you must select Any/does not matter for grade levels.
  4. Click Save.

Create a custom task for a student or yourself

  1. Navigate to the student folder, select Success Plan, and then select Task.
  2. Click add custom task.
  3. Enter the task details.
  4. Click Save.

    To display a task you assigned to yourself, navigate to Planner and select Dashboard.

Manage programs

Create a program

  1. Navigate to Planner and then select Programs.
  2. Click Add Another Program.
  3. Enter the program Name.
  4. Optionally, enter the program Goals and Description.
  5. From Includes tasks, select an available task and click the greater than icon. You can add the same task to multiple programs.
  6. After you have selected all tasks, click Save.

Edit a program

  1. Navigate to Planner and then select Programs.
  2. Click edit for the selected program.
  3. Edit the program details and then click Save.

    You can add additional tasks to a program that is assigned to students. Naviance auto-assigns the newly added tasks and the tasks are reflected in the program completion percentage.

    • If you assign a task to a student after adding it to a program, the task is not reflected in the program completion percentage in legacy reports and the student’s account.
    • If you assigned a task to a student before adding it to a program, the task is included in the program completion percentage in legacy reports and the student’s account.

Copy a district-level program

If your district has shared a program with schools, you can copy the program, and then customize it for your school.

  1. Navigate to Planner and select Programs.
  2. Select copy for the selected program.

  3. Edit the task details and then click Save.

Assign a task or a program to multiple students

  1. Navigate to Planner and select Assign and Manage.
  2. Select the students to whom you want to assign the task or program and then click Continue.
  3. Select Assign task or Assign program, select the task or program to assign from the corresponding list, and then click Continue.

    Naviance Student does not display a task if the corresponding feature is not available for the student.

Set up goal categories

You must create goal categories so students can create goals in Naviance Student. Naviance provides one goal category, Other.

Add a goal category

  1. Navigate to Planner and select Goal Setup.
  2. Click Add New Goal Category.
  3. Enter the information and then click Save.

View, edit, or delete a goal category

  1. Navigate to Planner and select Goal Setup.
  2. Choose View, Edit or Delete for the selected goal.

You cannot edit or delete district-level goal categories at the school level.

Activate task reminder deadline emails

Send task deadline reminders to all students at your school for all upcoming task due dates. Naviance does not send deadline reminders to students who have already completed the task.

  1. Navigate to Connections, then select Reminders.
  2. From Automated Task Reminders, select On for school-wide task reminders. Alternatively, select Off to manage deadline emails by task using the Send Reminder option in the task details.

  3. Click Update Task Reminders.

Assign a task or a program to a single student

  1. Navigate to the student folder.
  2. Select Success Plan and then select Tasks or Programs.
  3. Click assign tasks or assign programs.
  4. Choose the task or program to assign, click the greater than icon, and then click Save.

Assign a task or a program to multiple students

  • Naviance does not auto-assign tasks to new students. Search for new students and assign the task or program to the student.
  • If you reassign a task that was manually marked complete by the student or staff, the task status resets to not started.
  1. Navigate to Planner and select Assign and Manage.
  2. Select the students to whom you want to assign the task or program and then click Continue.
  3. At the end of the student list, choose Assign task or Assign program, select the task or program from the corresponding list, and then click Continue.

Many success planning tasks are automatically marked complete upon assignment if the student has already taken the related action.

  • When specific grade levels are selected in the task details and the task is recurring, the task is marked complete upon assignment only if the student has taken the related action in the same grade level as the task assignment.
  • When Any/does not matter is the selected grade level in the task details, the task is marked complete upon assignment if the student has taken the related action at any time in the past.

The following tasks are never automatically marked complete upon assignment:

  • Complete college search
  • Complete SuperMatch™ college search
  • Scholarship search
  • Search for enrichment programs
  • Custom tasks with the completion trigger set to Manually mark completed by staff
  • Custom tasks with the completion trigger set to Manually mark completed by staff or student
  • Custom tasks with the completion trigger set to Student posts a comment
  • Custom tasks with the completion trigger set to Student posts document
  • Custom tasks with the completion trigger set to Staff posts document
  • Custom tasks with the completion trigger set to Student completes a survey if the pre-survey option is enabled
