Permissions
To manage permissions, choose Student Data from the main menu, click More (...) on the desired form, then select Account Permissions.
User Account Permissions
- To create a new user account:
- Click Create New Account.
- Enter the user information.
- If needed, choose a permission Profile and Workspace Filter.
- Select Activate Portal Account if the user needs to access the customer portal.
- Click Create.
- To add or remove existing accounts:
- Click Add/Remove Existing Accounts.
Select the checkbox next to each account you want to add.
Use Select All or Deselect All to select or deselect all user accounts.- Click Save.
- To edit an existing account:
- Click Edit next to the name of the desired account.
- Update the Profile and Permission Rules information as needed.
- Click Save.
- To remove a single account:
- Click Remove next to the name of the account you want to remove.
- Click OK.

Profile Permissions
When you create or edit a profile, you can update the following permission settings.
General Permissions
Permission | Description |

Access to Restricted Fields | Grants access to view data within the defined Restricted Fields. This option is only available if at least one Restricted Field is defined. |
May Transfer Students | Grants access to the Transfer Students feature. |
May Request Refunds | Grants access to the Request Refund feature. This option is only available if there are Fees configured within the form and if the form is using PowerSchool's payment gateway to collect those Fees. |
Roster Permissions
The Roster tab within the Permission Profile is only available for Private forms.

Views
Each defined Custom View is permitted individually. Granting access to a custom view allows a user to access that view within the Roster Workspace through the View menu.
Student Record Views
Each defined Student Record View is permitted individually. Student record views control what data is displayed when viewing the roster record detail. If no student record views are defined, then all users will see all of the data when viewing the roster record detail. If any student record views are defined, then profiles (users) without any permitted student record views will not be able to access any roster record details.
Filters
Each defined Filter is permitted individually. Granting access to a filter allows a user to apply that filter within the Roster Workspace through the Filter menu.
Tags
Each defined Tag is permitted individually. Granting access to a tag allows a user to see when that tag is assigned to a record and assign and remove the tag from records, either individually within a roster record detail or in bulk through the Assign Tags and Remove Tags tasks, which are not permitted separately.
Uploaded Documents
Each defined Uploaded Document is permitted individually. Granting access to an uploaded document allows a user to download the file stored within its related field, and allows a user to upload new files into its related field.
Pre-Submission Permissions
The Pre-Submission tab within the Permission Profile is only available for Restricted forms and if the Pre-Submission feature is enabled.

Verify Addresses | Grants access to the Verify Addresses task. This option is only available if the Address Verification feature is being used. |

Views

Each defined Uploaded Document is permitted individually. Granting access to an Uploaded Document allows a user to download the file stored within its related field, and allows a user to upload new files into its related field.
Payment Records
Each defined Payment Report is permitted individually. Granting access to a Payment Report allows a user to generate that Payment Report for any record through the Payment Report task, which must be permitted separately.
School Choice Permissions
The School Choice tab within the Permission Profile is only available if the School Choice feature is enabled.

Seating Units
When the Workspace Filter Seating Unit Permission feature is used, each user is automatically granted access to the seating units associated with their assigned workspace filter(s), and the Seating Units section within the School Choice tab of the Permission Profile is not visible.
When the Workspace Filter Seating Unit Permission feature is not used, access to seating units is permitted individually within the Seating Units section.
Notifications
This Notifications section is only available when the Workspace Filter Seating Unit Permission feature is being used.
