Manage Forms

Choose Student Data from the main menu, then click More (...) on a form record. Available tasks depend on form status, configuration, and permission settings.

Preview

Select Preview to display the form in Preview mode. Refer to Preview a Form for details.

  1. Select Copy Live Links.
  2. Click the URL to highlight the text. If multiple languages are enabled, select the link for the desired language.
  3. Right-click the pointer and select Copy.
  4. Click Done.
  5. Paste the link into your website or email communications.

Change Status

Use the Change Status function to open, close, or schedule a form's availability.

  1. Select Change Status.
  2. Choose one of the following options from the Status dialog:
    • Open indicates parents can access the form.
    • Scheduled indicates that the form is scheduled to auto-open and auto-close at defined dates/times:
      • Start Date: Enter the date the form can be accessed by parents.
      • Start Time: Enter the date the form can be accessed by parents.
      • End Date: Enter the date the form can no longer be accessed by parents.
      • End Time: Enter the time the form can no longer be accessed by parents.
    • Closed indicates parents cannot access the form.
  3. Click Open, Schedule, or Close depending on your selection in step 2.

Settings

Use the Settings function to indicate whether the form is available for parents on the Family Portal home page and whether parents are required to enter their student's birthday prior to accessing pre-populated data contained within the form.

  1. Select Settings.
  2. Select Show on Family Portal Home Page to make the form available within the Start a New Form section on the Family Portal home page.

    This option is only available for Restricted and Private forms.

  3. Select the Date of Birth Authentication to require parents to enter their student's date of birth prior to accessing pre-populated data contained within the form.

    This option is only available for Private forms.

  4. Click Save.

Roster Progress

  1. Select Roster Progress to run the Roster Progress Report for the applicable schools.
  2. Click View as Chart.
  3. Review the progress data in Pie Chart or Bar Chart format.
  4. Select a legend item to remove it from the chart data. Select it again to restore the data.
  5. Click Chart Options or Options to Export the displayed data to a comma-separated value (CSV) file.
  6. Click Return to Text Report ( X ).

Submission Progress

  1. Select Submission Progress to run the Submission Progress Report for the applicable schools.
  2. Click View as Chart.
  3. Review the progress data in Pie Chart or Bar Chart format.
  4. Select a legend item to remove it from the chart data. Select it again to restore the data.
  5. Click Chart Options or Options to Export the displayed data to a comma-separated value (CSV) file.
  6. Click Return to Text Report ( X ).

Fees and Payment Methods

PowerSchool Enrollment Support configures payment methods and fees.

  1. Select Fees and Payment Methods.
  2. Review Payment Management Fees by payment Method.
  3. Select a Fee type to display Details and Conditions related to the fee.

Request Refund

PowerSchool Enrollment Support enables the Refund Request feature.

  1. Select Request Refund.
  2. Enter search criteria and click Find Student.
  3. Click View Fees.
  4. Select one or more fees.
  5. Click Request.
  6. Track the request in the Refund Request section.
    1. Requests are marked Not Processed, In Process, or Processed, depending on their status.
    2. Processed refunds are tracked by whether they are assigned or not assigned to a remittance report.

Transfer Student

To transfer a student to another school:

  1. Choose Student Data from the main menu.
  2. Click the form's Options (...) menu and select Transfer Student.
  3. Enter your search criteria.
  4. Click Find Student.
  5. Select the Transfer link.
  6. Select a school.
  7. Click Transfer.

Download Transfer Log

Select Download Transfer Log to download a comma-separated value (CSV) file of the transfer log.
