Manually Match to Documents in the PowerSchool SIS

A new Manual matching option is available as part of the Document Integration with the PowerSchool SIS.

With this option enabled, documents are still automatically matched by the ID of the document within PowerSchool Enrollment to ensure that no document is duplicated for a student in the PowerSchool SIS. However, if there is no exact match found on the document ID, the system searches for potential matches based on an exact match on Document Title or an exact match on at least one Category.

With this option enabled, the match status of the document appears in the standard data delivery workflow, with grey indicating no match, yellow indicating potential matches, and green indicating match. The match window for the document displays the potential matches for the document. Using the match window for the document, either a match or no match can be selected. Each potential match is required to be resolved before delivery.

Requires configuration by PowerSchool Enrollment Support and use of PowerSchool SIS Document Integration, which requires PowerSchool SIS version 20.4.5.0 or later and the use of the Document Attachment feature in the PowerSchool SIS.

Update Metadata on Matched Documents in the PowerSchool SIS

Using either the Automatic or Manual document matching options, when a document in PowerSchool Enrollment is matched to a document in the PowerSchool SIS as part of the standard data delivery process and the documents have the same document ID, the metadata for the document in the PowerSchool SIS can be updated upon successful delivery. Given the document ID's match, the documents are the exact same file.

The metadata that can be updated includes Document Title, Categories, and Notes, but excludes File Name.

Requires use of PowerSchool SIS Document Integration, which requires PowerSchool SIS version 20.4.5.0 or later and use of the Document Attachment feature in the PowerSchool SIS.

Replace Matched Documents in the PowerSchool SIS

Using the Manual document matching option, when a document in PowerSchool Enrollment is matched to a document in the PowerSchool SIS as part of the standard data delivery process and the documents do not have the same document ID, the document in the PowerSchool SIS is replaced with the document sent upon successful delivery, along with its metadata. Given the document ID's do not match, the documents are different files.

Requires use of PowerSchool SIS Document Integration and the Manual document matching option, which requires PowerSchool SIS version 20.4.5.0 or later and use of the Document Attachment feature in the PowerSchool SIS.

Enhanced Student Matching Criteria with the PowerSchool SIS

A new Enhanced Match Criteria option is available in the API integration with the PowerSchool SIS.

With this option enabled, the match criteria used to identify potential matches for students is as follows:

  • EITHER
    • First Name (exact)
    • AND Last Name (contains)*
    • AND Birth Year (exact)
  • OR
    • Date of Birth (exact)
    • AND EITHER
      • First Name (exact)
      • OR Last Name (contains)*

* Separately considers values on either side of hyphens or spaces. For example: "Jones" and "Smith" for "Jones-Smith", or "Martinez" and "Garcia" for "Martinez Garcia".

This enhanced student matching criteria will result in fewer occurrences of the potential match not being identified, will better focus the list of returned potential matches, and will improve the performance of student matching.

Requires configuration by PowerSchool Enrollment Support and PowerSchool SIS version 20.11.0.0 or later.

Auto-Match to Student in the PowerSchool SIS When One Exact Match Found

A new Auto-Match to Student when One Exact Match Found option is available in the API integration with the PowerSchool SIS.

With this option enabled, if PowerSchool Enrollment does not have a Student ID and if there is exactly one student in the PowerSchool SIS that matches the following, more-stringent criteria, the student will be matched automatically:

  • First Name (exact)
  • AND Last Name (exact)
  • AND Date of Birth (exact)

Requires configuration by PowerSchool Enrollment Support, use of the Enhanced Match Criteria option, and PowerSchool SIS version 20.11.0.0 or later.

Enhanced Contact Matching Criteria with the PowerSchool SIS

A new Enhanced Match Criteria option is available in the API integration with the PowerSchool SIS.

With this option enabled, the match criteria used to identify potential matches for contacts is as follows:

  • EITHER
    • First Name Initial (begins-with)
    • AND Last Name (contains)*
    • AND Address Street Number (contains)

    • Phone Number (exact)

eSchoolPlus SIS School Locator Integration

District and school boundary data in the eSchoolPlus SIS can be leveraged by the School Locator feature in PowerSchool Enrollment, without separately importing and maintaining this boundary data in PowerSchool Enrollment.

After entering the student's grade and address on the form, the address is validated. If valid, the CASS certified format of the address along with the grade is sent to the eSchoolPlus SIS via API. The eSchoolPlus SIS uses the address and grade to determine the zoned school(s) for the student using the Geo Code feature leveraging the up-to-date boundary data (i.e., plan areas) for the specified school year. The eSchoolPlus SIS then communicates the zoned school(s), or lack thereof, back to PowerSchool Enrollment via API where this information is displayed to the parent on the form.

Requires configuration by PowerSchool Enrollment Support, eSchoolPlus SIS version 19.4.29.0 or later (but earlier than version 19.11.0.0), version 19.11.21.0 or later (but earlier than version 20.4.0.0), or version 20.4.14.0 or later, and use of the Geo Code feature in the eSchoolPlus SIS.

Parent - Relaxed Location and Result TypeA new Relaxed Location & Result Type option is available when using GIS polygon boundary data with School Locator that supports validation of and zoned school determination for a wider range of addresses. This works in conjunction with the preexisting Relaxed Geocode Acceptance option. Given the address has been validated, if the below criteria are met, the address is validated and a zoned school is attempted to be determined.
  • 'Relaxed Location & Result Type' enabled and 'Relaxed Geocode Acceptance' enabled:
    • result_type is either street_address, premise, or subpremise OR location_type is either ROOFTOP or RANGE_INTERPOLATED
  • 'Relaxed Location & Result Type' enabled and 'Relaxed Geocode Acceptance' disabled:

Resolved Issues

Admin - Error When Delivering Documents to the PowerSchool SISIf more than nine document slots are configured for delivery with the PowerSchool SIS, when a user attempts to deliver a submission to the Powerschool SIS with a document in the tenth or later slot, the following occurs: "Cannot add property providerDocUID to Newtonsoft.Json.Linq.JObject. Property with the same name already exists on an object". This issue is now resolved.

Admin - Error When Delivering Phone Records to the PowerSchool SIS

When attempting to update a Contact record in the PowerSchool SIS where the contact has an existing phone number that is being removed but simultaneously has the same phone number is added with a different type, the following error occurs: "The contact data provided was invalid". This issue is now resolved.
Admin - Error Matching Student Records in the eSchoolPlus SIS

With larger data sets, when a user attempts to locate potential matches for a student in the eSchoolPlus SIS, the process is sometimes extremely slow and the following error occurs: "The given key was not present in the dictionary". This issue is now resolved. Using the new Enhanced Match Criteria option improves the performance of student matching.

Admin - Error Matching Student Records in the eSchoolPlus SISWith larger data sets, when a user attempts to locate potential matches for a student in the eSchoolPlus SIS, the process is sometimes extremely slow and the following error occurs: "Unable to find students matching first name and last name. StatusCode = BadRequest." This issue is now resolved. Using the new Enhanced Match Criteria option improves the performance of student matching.
Admin - Multiple Permission Rules Preventing Record Import to Submission WorkspaceIf a user has multiple permission rules assigned, the user does not see the import message when records meeting the criteria of their permission rules are available for import into the Submission Workspace. This issue is now resolved.
Admin - ODC Import Scheduled Jobs Not RunningScheduled jobs configured to import records from the SIS through the ODC (Online Data Container) to the Roster Workspace are not running. This issue is now resolved.
Admin - Performance Retrieving Documents From PowerSchool Enrollment via APIRetrieving documents from PowerSchool Enrollment via API while on the Student Attachments page in the PowerSchool SIS is slow. This issue is now resolved. Performance of this endpoint is now significantly improved.
Admin - Unable to Manually Match Contacts While Delivering YRU Data to the eSchoolPlus SISWithin a delivery batch for YRU (Year-Round Update) submissions, when a user attempts to manually match to a contact record in the eSchoolPlus SIS, the record is not successfully matched and the schema automatically collapses. This issue is now resolved.
Parent - Read-Only Dropdown Fields with Show-If Logic Display IssueWhen a parent interacts with a field on the form that triggers the Show-If logic to show a read-only dropdown field, the field is shown twice - one that is read-only and the other that is editable. This issue is now resolved.
Parent - School Choice Result Notification Displaying Old Program TitlesWhen a program title (e.g., school name, grade name, etc.) changes in the School Choice Workspace, the old program title is still displayed to parents when viewing the lottery results. This issue is now resolved.
