Configure a Form

When you first open Form Builder, it displays a list of forms you have access to. You can sort or filter the list, review form properties, and perform a variety of tasks.

Select a form to access and update the form's Details, Form pages and elements, Additional Content, Translations, and Print Templates.

Form Properties

Column

Description

Name

The name of the form as it appears online for parents.

Academic Year

The school year for which the form is associated.

Type

  • Public indicates a single-page form that does not require an account to access the form.

  • Restricted indicates a multiple-page form that requires an account to access the form.

  • Private indicates a multiple-page form that requires both an account and Snapcode to access the form.

Publication Status

  • Draft indicates the form has never been published.

  • Published indicates that the form has been published previously. However, there may be updates awaiting publication.

Status

  • Open indicates parents can access the form.

  • Closed indicates parents cannot access the form.

  • Scheduled indicates that the form is scheduled to auto-open and auto-close at defined dates/times.

  • Scheduled (Open) indicates that the form is currently in between the auto-open date/time and auto-close date/time.

  • Scheduled (Closed) that the form is currently either before the auto-open date/time or after the auto-close date/time.

An informational tooltip displays next to the Scheduled status with the scheduled dates and times, which appear in Central Time, regardless of your location.

If a form is Closed or Scheduled (Closed) and a parent attempts to access the form, they will be directed to a message page in the Family portal with Form Not Available content.

Last Published Date

The date indicates the last time the form was published.

Hover the pointer over the published date to display the full date and time, which appears in Central Time, regardless of your location.

Preview

  1. Click More (...) in the row of the form you want to work with.

  2. Click Preview to view the form in Preview mode.

  1. Click More (...) in the row of the form you want to work with.

  2. Click Copy Live Links.

  3. Click the URL to highlight it.

    1. If multiple languages are enabled, select the link for the desired language.

  4. Right-click the pointer and select Copy.

  5. Click Done.

  6. Paste the link into your website or email communications.

Change Status

Use the Change Status function to open, close, or schedule a form's availability.

  1. Click More (...) in the row of the form you want to work with.

  2. Select Change Status.

  3. Choose one of the following options from the Status dialog:

    • Open indicates parents can access the form.

    • Scheduled indicates that the form is scheduled to auto-open and auto-close at defined dates/times:

      • Start Date: Enter the date the form can be accessed by parents.

      • Start Time: Enter the date the form can be accessed by parents.

      • End Date: Enter the date the form can no longer be accessed by parents.

      • End Time: Enter the time the form can no longer be accessed by parents.

    • Closed indicates parents cannot access the form.

  4. Click Open, Schedule, or Close depending on your selection in step 2.

Settings

Use the Settings function to indicate whether the form is available for parents on the Family Portal Home page and whether parents are required to enter their student's birthday prior to accessing pre-populated data contained within the form.

  1. Click More (...) in the row of the form you want to work with.

  2. Select Settings.

  3. Select the Show on Family Portal Home Page checkbox to make the form available within the Start a New Form section on the Family Portal home page. This option only appears for Restricted and Private forms.

  4. Select the Date of Birth Authentication to require parents to enter their student's date of birth prior to accessing pre-populated data contained within the form. This option only appears for Private forms.

  5. Click Save.
