Allow Decision on Multiple Offers

A new “Allow Decision on Multiple Offers” option is present within the School Choice Workspace. If a student’s choice is already on a Seated List and another choice for the same student is moved to the Seated List outside of lottery processing, the original choice remains on the Seated List. When a student has multiple choices on Seated Lists and accepts one of the offered seats, the student’s other seated choices are declined and removed.

Requires PowerSchool Enrollment Support to enable the option.

Automatically Fill Open Seats

A new “Automatically Fill Open Seats” option is present within the School Choice Workspace. If a student’s choice is removed from the Seated List outside of lottery processing, regardless of the triggering action, the top student’s choice on the Waitlist is automatically moved to the Seated List. If an administrative user removes multiple students’ choices from the Seated List in a batch, that same number of students’ choices is automatically moved from the top of the Waitlist to the Seated List.

Students are not automatically moved to the Seated List when there are multiple Waitlists for a single Seated List.

Requires PowerSchool Enrollment Support to enable the option.

Edit School Locator Forms


District administrative users can now edit forms that contain the advanced School Locator element using the Form Builder. In doing so, they can edit the School Locator element itself, including general settings and input and output mappings.

The ability to edit forms that contain School Locator using the Form Builder requires initial configuration changes by PowerSchool Enrollment Support. These changes include the removal of double negatives in the School Locator outputs; the “Out of District” output becomes the “In District” output, and the “No Zoned School” output becomes the “Zoned School” output.

Once these configuration changes are made, the form is accessible in the Form Builder and the School Locator feature within the preview form displays additional testing-related information.

Open Seats Report

A new “Open Seats Report” is available in the School Choice Workspace. The report generates a CSV file containing all the schools, grades, programs, etc. that have open seats on their Seated Lists, allowing you to more efficiently identify seats that should be filled.

Requires the new “Export Open Seats Report” School Choice permission.

Admin - Changing Predefined List Stored Values

When you edit an existing Predefined List and remove or change pre-existing stored list values, upon saving the list, the confirmation dialog now displays detailed information on the potential impact of removing those stored values.

Admin - Clear Geocode in PowerSchool SIS Upon Address Change

When updating an existing student record in the PowerSchool SIS, if a change is detected in the physical address, the Geocode value associated with the physical address is cleared. If a change is detected in the mailing address, the Geocode value associated with the mailing address is cleared.

Admin - Deleting Predefined Lists

If a Predefined List is referenced within any form configuration or SIS integration configuration, you are now prevented from deleting the Predefined List.

Admin - Deleting Rules

If a Rule is referenced by the School Choice Workspace configuration, you are now prevented from deleting the Rule.

Admin - Display List Values

The display values for list items are now displayed throughout the Admin Portal, in place of the stored values. Display values are now shown in the following areas:

    • Editing an individual field within detail view or quick view

Display values are already used in the Admin Portal in print templates and parent-facing communication templates, and throughout the Family Portal for parents.

The stored values are still used in the following areas in the Admin Portal:

    • Student Data / Workspace configuration (e.g., filters/rules, views, etc.)

Admin - Editing Rules

If a Rule is referenced by the School Choice Workspace configuration, you are now prevented from editing the expressions within the Rule.

Admin - Importing Invalid Records into School Choice Workspace

Records that do not meet the criteria to be assigned a seat when the lottery is run are skipped when imported into the School Choice Workspace. An error report provides details about why a record was skipped.

Admin - Match to Historical Students in PowerSchool SIS

A new “Include Historical Students” option is available in the PowerSchool SIS integration. When enabled, students with the status of Historical (4) are included in the student match results. Given a student schema is matched to a Historical student in the PowerSchool SIS, the delivery of the submission is prevented, and the user is informed they must first adjust the status of the student in the PowerSchool SIS before proceeding.

Requires PowerSchool Enrollment Support to enable the option.

Requires “Include Inactive Students” be enabled. Requires PowerSchool SIS v20.4.1.0+.

Admin - Performance of Searching for Users and Editing Permissions

The performance of searching for users on a form’s Manage Permissions & Profiles page is improved, along with the performance of entering and exiting edit mode for an individual user’s permissions.

Admin - Predefined List Names

When editing an existing Predefined List, the Name of the list can no longer be changed, preventing form fields from no longer being associated with a valid list.

Admin - Seated List / Waitlist Navigation

The “Change” link within the Waitlist header on the Seated List / Waitlist page within the School Choice Workspace was removed, and the grade and program values within the sub-title on the page were changed into buttons. Upon selection of the button, the same “Change” dialog is shown, allowing you to navigate between pages more efficiently and in a more contextually appropriate location.

Admin - "Back to Top" Option in Data Delivery Workflow

The “Back to Top” option next to each schema header within the Data Delivery workflow did not bring the user to the top of the page. This issue was resolved.

Admin - "Blank" Contacts in PowerSchool SIS Match Results

“Blank” contacts in the PowerSchool SIS (contacts without a first and last name) are able to exist associated with a web access account. When a “blank” contact was included in the match results for a contact schema as part of the Data Delivery workflow, the match status, match orb, and match results of the student schema, the contact schema containing the “blank” contact in its match results, and any subsequent contact schemas were incorrect and improperly rendered in the UI. This issue is now resolved.

Admin - Administrator Role Access to Student Data Configuration

When a user had the Administrator role but not the Configuration role, they were able to access the Student Data tab on the General page within the Configuration menu, but no forms were displayed. This issue was resolved; users with the Administrator role are now able to access and configure the Student Data workspace settings for each form.

Admin - Approval & Delivery Notification Values

When form data item tokens were included in Approval Notifications and Delivery Notifications, the tokens were rendered representing the original state of the values at the time of submission instead of the current state of the values within the submission record. This issue is now resolved.

Admin - Capitalization Changes with "Edit All"

When using the “Edit All” mode within an individual Roster or Submission record, capitalization changes were not saved. This issue was resolved.

Admin - Chain Link Icon in eSchoolPlus Contact Match Window

When viewing the match window for contacts in eSchoolPlus, the chain link icon representing a contact that is already linked to the student was not present unless the contact schema was already matched to the contact linked to the student. This issue is resolved.

Admin - Duplicate Records in SIS due to Double Clicking

As part of the Data Delivery workflow, after clicking “Deliver Record”, a dialog is shown. Previously, if the user clicked outside of the dialog, the dialog closed, and the user could not see that the system was processing the delivery. If the user then clicked “Deliver Record” again, if any of the schemas had a match status of “no match,” duplicate records were created in the SIS. This issue was resolved; the dialog can no longer be dismissed.

Admin - Duplicate Students in PowerSchool SIS due to Unhandled Exception

While delivering a new student to the PowerSchool SIS, if an unhandled exception occurred while delivering a document, health concern, or health medication, the match data for the newly created student record was not appropriately updated in PowerSchool Enrollment, leaving the student schema with a match status of “no match”. Upon attempted redelivery, the student record was duplicated in the PowerSchool SIS. This issue is now resolved. The match status of the newly created student is now appropriately updated in PowerSchool Enrollment, ensuring the student schema is matched to the newly created record.

Admin - Editing Rich Text Translations

When editing translations in the Form Builder for rich text content using the Editor option, when the Editor dialog appeared, the translations table behind the dialog reverted to the first page of the table. This issue is resolved.

Admin - End Relationships in PowerSchool SIS

When “End Relationships with Old Contacts” was enabled and the contact in the PowerSchool SIS already had at least one relationship with the student with an end date, an end date was not added to the active relationship. This issue was resolved.

Admin - Import Permissions Timeout

When importing permissions for more than 200 users on a form’s Manage Permissions & Profiles page, the import timed out. This issue is resolved; the permissions import is now a background job and displays a progress bar.

Admin - Roster Data Loss

When notifying Roster records using the Notify task, if a Roster record was processed by multiple Notify jobs at the same time, data items within the Roster record could potentially be lost. This issue was resolved.

Admin - SIS Single Sign-On

If a user’s PowerSchool Enrollment account was already linked to their SIS account, and if their PowerSchool Enrollment account was in either Pending Validation or Pending Change Password status, upon attempting to access PowerSchool Enrollment from the SIS via SSO (Single Sign-On), the user was brought to the Sign In screen with an error. Upon signing in, the user was then required to either perform account validation and set up or change their password. This issue was resolved; the user is now brought directly within their linked PowerSchool Enrollment account.

Admin - Submission Confirmation Popup Content Disappears

Editing any of the Additional Content within a form resulted in the Submission Confirmation Popup content being cleared out. This issue is resolved.

Admin - Unable to Preview Form

With the Form Builder enabled, the Form Builder database had the potential to become out of sync with the Form Definition database, preventing access to the Preview version of the form. This issue was resolved.

Parent - Single Sign-On Fails

When the parent’s first or last name exceeded 25 characters within their SIS account, single sign-on (SSO) failed. This issue has been resolved.
