Manage Seating Unit Messages

School or district staff can add and manage custom messages to each seating unit detail page (that is, the seated list and waitlist page) in the School Choice Workspace. These messages support plain text, a maximum of 1000 characters, and three distinct message styles: Information, Warning, and Error. When displayed, a user with access to the page will see the message.

The Manage Seating Unit Messages permission is available in the School Choice tab of a Permission Profile. Both Internal Specialists and Customer Admins will be able to enable/disable this permission. Only users with this permission will be able to add and manage these seating unit messages.

These seating unit messages can be used to communicate relevant information to the appropriate users in the contextually appropriate location without needing to disseminate this information through other mediums.

The Criteria for Customer Admins are as follows and also note that this permission will be included in the cloning process:

  • Customer admin with the “Manage Seating Unit Messages” permission for the published action.
    or

  • Customer admin with the Super Admin role.

The Manage Seating Unit Messages within Profile Import/Export will be called as SCHOOL CHOICE - TASK - Manage Seating Unit Messages.

Adding Seating Unit Message

You will be able to add a Seating Unit Message when no message is defined against the seating unit. If a seating unit message already exists, you can edit or delete the seating unit message.

  • Click the Add Message link located next to the Seating Unit Level detail.
  • An Add Message section with the following two required fields to add details is displayed in the School Choice Workspace before the Seated List panel:
    • Message Type: You can select a message style: Information, Warning, or Error. This will impact the style and view of the message when saved.
    • Message: You can define simple or plain text in a text area input with up to 1000 characters.
  • Click Save to exit the Add Message section and the message will be visible on the page in the appropriate style selected. The Add Message link is replaced with the Edit and Delete action links after the added message.
  • Click Cancel to exit the Add Message section and the message will not be saved or added.

Note

  • If you pressed Enter (Return) key in the defined message, the content after the Enter (Return) key will appear on a new line.
  • If the seating unit has multiple child seating units where the seats exist at a parent level, the message will exist where the seats exist. This message will be able to be configured and viewed when viewing either a single cluster or all clusters simultaneously.

Editing Seating Unit Message

You will be able to edit a Seating Unit Message that is defined against the seating unit.

  • Click the Edit link present after the Seating Unit Message.
  • An Edit Message section similar to the Add Message section with saved values for the Message Type and Message fields is pre-populated. You can update or edit the values for the Message Type and Message text. These two fields will continue to be required fields even in the Edit Message section.
  • Click Save to exit the Edit Message section and see the message with the selected style and updated message.

Deleting Seating Unit Message

You will be able to delete a Seating Unit Message that is defined against the seating unit.

  • Click the Delete link present after the Seating Unit Message.
  • A Delete Message window is presented with the message: Are you sure you want to remove this message from the XXXSeatingUnitTitlesXXX seating unit?
    • Where XXXSeatingUnitTitlesXXX is rendered as the titles of the seating unit:

      • For example, Grade K if seats exist at level 1.

      • For example, School A -> Grade K if seats exist at level 2.

      • For example, School A -> Grade K -> Program X if seats exist at level 3.

      • Seating unit levels where the Seats are defined as “Seats are located at a higher(parent) level” will not be included:

        • For example, Grade K if seats exist at level 1 and there is a child seating unit at level 2.

        • For example, School A -> Grade K if seats exist at level 2 and there is a child seating unit at level 3.

  • Click Delete to close the Delete Message window and delete the message. You will see the Add Message link to add a message.
