Notify Families

Use communication templates to notify families regarding your online form submissions.

From the workspace Tasks menu, you can send emails, print letters, and print labels.

Send Email

Merge record data into email templates and send it to the email addresses provided.

  1. Click Send Email in the Tasks menu.
  2. Choose an Email Template.
  3. Choose the records you want to send an email to (Selected Only or All Found).
  4. On the Preview page:
    1. You have the option to Exclude records for which this email has previously been sent.
    2. Select the Recipient address field on the form you wish to send the email to.
    3. Use the arrows to preview emails to recipients.
    4. If needed, Edit the email body for a record.
      1. Changes affect only that email.
      2. Click Save.
    5. Select Skip to skip an email.
      1. Select Don't Skip to include the email.
  5. Click Send All.
  6. Click Close.

Print Letters

Print letters from a template.

  1. Select Print Letters from the Tasks menu.
  2. Select a letter template.
  3. To skip previewing the letters before printing, select the Skip Preview checkbox.
  4. Choose to print letters for Selected Only or All Found.
  5. If you chose to preview the letters, on the Preview page:
    1. Use the arrows to preview emails to recipients.
    2. If needed, Edit the letter message for a record.
      1. Changes affect only that letter.
      2. Click Save.
    3. Select Skip to skip a letter.
      1. Select Don't Skip to include the letter.
  6. Click Print All.
  7. After processing completes, click View Letters.
    1. Use the PDF viewer tools option to Print or Download the PDF.
    2. When finished, close the browser window.
  8. Click Close.

Print Labels

Print labels in bulk for letters being sent outside of the workspace or for other organizational purposes.

  1. Select Print Labels from the Tasks menu.
  2. Select the label template.
  3. Enter the Starting Label number.
    1. A value of 1 indicates the upper left-hand corner.
  4. To skip previewing labels before printing, select the Skip Preview checkbox.
  5. Choose to print labels for Selected Only or All Found.
  6. If you chose to preview the labels, on the Preview page:
    1. Use the arrows to preview labels.
    2. If needed, Edit a label for a record.
      1. Changes affect only that label.
      2. Click Save.
    3. Select Skip to skip a label.
      1. Select Don't Skip to include the label.
    4. Click Print All.
  7. After processing completes, click View Labels.
    1. Use the PDF viewer tools option to Print or Download the PDF.
    2. When finished, close the browser window.
  8. Click Close.
