Student Record Views

Overview

Student Record views are used to display a subset of data to the appropriate staff within the detailed view of a record. You can create and manage Student Record views for both the Roster and Submission workspaces to control which fields to include, whether a field is read-only, and which permission profile has access to the information.

To access the Student Record Views configuration for a form, choose Configuration from the main menu, then General. Choose the form on the Student Data page, then select the Student Records tab.

Create a Student Record View

  1. Choose Roster or Submission.

    Roster is only available for Private forms.
  2. Click Create View.
  3. Click the Details tab.
    1. Enter a unique Name. The name cannot be longer than 100 characters.
    2. Choose a permission Profile.
      • If at least one Student Record view exists within a workspace, every profile is required to have at least one Student Record view assigned for that workspace.
    3. To add another profile, click Add Profile and select the appropriate profile.
    4. To delete a profile, click the Delete (trash) icon next to the profile you want to delete.
  4. Click the Fields tab.
    1. Click Choose Fields.

    2. Select the fields that you want to appear on the Student Record view.

      • Use the Filter fields to narrow the list of fields.

    3. Click Choose.

    4. To sort fields, drag and drop the fields into the order by which you want them to appear in the Student Record view.

    5. To delete a field, click the Delete (trash) icon next to the field you want to remove.

    6. If needed, enter Hover Text to display when the user hovers the pointer over the field.
    7. Select the Read Only checkbox if you want the field to be read-only.
    8. Click Save.

Edit a Student Record View

  1. Choose Roster or Submission.

    Roster is only available for Private forms.
  2. Click the Name of the Student Record view you want to edit.

  3. Update the information as needed.

  4. Click Save.

Delete a Student Record View

  1. Choose Roster or Submission.

    Roster is only available for Private forms.
  2. Click the Delete (trash) icon on the Student Record view you want to delete.
  3. Click Delete to confirm.
