Self-Service Data Sources

District administrators with the Configuration role can configure Data Sources from PowerSchool SIS, eSchoolPlus, and file-based sources directly through the customer admin portal. A data source defines how student data is brought into Enrollment from the district’s system of record. Administrators can create, view, edit, and delete import configurations for these source types.

Each data source contains one or more source records that define which data to import. For PowerSchool SIS, examples include Student, Contact, and Student Extensions. Some source records also contain subrecords for related data; for example, a PowerSchool SIS Contact source record can include Address, Phone, Email, and Relationship subrecords. Source records and subrecords are configured through field mappings that pair a source field with a form field, controlling what data is imported and where it displays on the form. Optional transform rules can format values during import, such as date formatting, phone formatting, or name casing.

Users can control import scope at multiple levels. Source-level import filters can limit the student population by criteria such as student status, grade level, or school, while record-level import conditions can narrow which related records are selected for each student when multiple records exist.

When configuring PowerSchool SIS sources, the system uses metadata synced from the customer’s SIS and cached locally. This provides table and field options based on the district’s SIS structure, including available extension metadata. Administrators can run a new sync to refresh those options.

Built-in validation and user guidance provide feedback during configuration, helping users identify missing or incompatible settings before running imports. The result is a faster, more reliable setup experience that reduces trial and error and gives districts greater confidence in their SIS import behavior.

Integration types other than PowerSchool SIS, eSchoolPlus SIS, and file-based CSV/TAB continue to use the existing configuration process and are not managed through Self-Service Data Sources in this release.

Description

Duplicate Data Targets

Administrators can duplicate existing data targets within PowerSchool Enrollment to quickly create new delivery configurations without rebuilding mappings and record structures from scratch. Selecting Duplicate from the action menu on a data target opens a slide-out panel where users provide a unique name for the new target. Once confirmed, the system creates a fully independent duplicate containing the source target's complete configuration—including high-level settings, target records, subrecords, and field mappings—and opens the new target's configuration page for editing.

During duplication, the Target Type is retained as read-only, and the source SIS connection is preselected with the option to choose any compatible connection. For PowerSchool SIS and eSchoolPlus targets, administrators can configure the Year-Round Update (YRU) delivery setting and optionally assign an available custom workspace data view not already linked to another data target. Duplication applies within the same published action, and existing data target configurations are not affected.

Inline Slash Command Usability Improvements

The inline slash command experience for inserting tokens in PowerSchool Enrollment features improved search responsiveness, smoother keyboard interactions, and direct token editing workflows across configuration text fields. When typing a forward slash (/) in a supported input, the token popover filters options in real time and highlights matching query text as administrators type directly in line. Selecting a token seamlessly replaces the search text with a distinct token element containing an integrated remove action, while dismissing the menu with Escape or outside clicks preserves the entered characters as literal text without disrupting cursor placement.

Additionally, administrators can interact directly with existing tokens in an input to reopen the slash command popover, enabling rapid replacement or updates without having to manually delete and re-enter tokens. These workflow improvements streamline data delivery and mapping configurations, and existing token mappings remain unaffected.

School Choice Workspace Loading Experience

To improve responsiveness and provide clear visual feedback during page loads, the main School Choice Workspace page features skeleton loading screens and section-level loading indicators.

Key Highlights:

  • Immediate Page Structure: When opening the School Choice Workspace, a skeleton layout immediately renders the primary page frame, breadcrumbs, tabs, right-hand sidebar, and section headers.

  • Subsection Loading Feedback: Individual sections (including Lottery Summary, Students, Disposition Statuses to be Resolved, Seats to be Filled, Upcoming Seat Acceptance Deadlines, and Programs) display loading animations until their respective data has finished loading.

  • Smoother User Experience: Content dynamically populates as soon as each subsection is ready, ensuring school and district staff receive real-time visual progress without confusion or perceived screen freezes.

User Impact & Benefit:
Staff navigating complex School Choice datasets experience a more responsive, transparent interface with immediate feedback during heavy data retrieval.

School Choice: Choice Number Available in Waitlist and Seated List Reports

Added the PROP:ChoiceNumber column property to Waitlist and Seated List report views. When ranked choices are active, the column outputs the student's 1-based choice preference number (for example, 1, 2, 3). If unranked choices are enabled for the process, the field remains blank.

School Choice: Complete Waitlist Report Export

School Choice administrators can export a consolidated Complete Waitlist Report across all waitlists in a single background process. The export generates CompleteWaitlistReport.csv, allowing users to monitor job progress, view record processing status, download the full data file, or review any skipped records directly from the job status modal.

Waitlist report exports will strictly adhere to assigned seating unit permissions. Non-admin users running waitlist reports will only see data for the seating units they are explicitly authorized to access.

School Choice: Complete Seated List Report Export

School Choice administrators can export a consolidated Complete Seated List Report across all seating units in a single background process. The export generates CompleteSeatedListReport.csv and provides a progress modal with real-time record counts, download capabilities, and detailed logs for any skipped entries.

Seated list report exports will strictly adhere to assigned seating unit permissions. Non-admin users running seated list reports will only see data for the seating units they are explicitly authorized to access.

School Choice: Visual Loading Feedback During Program Level Navigation

Added visual loading feedback to the main School Choice Workspace page when navigating between program seating levels. Selecting Next Level or Previous Level in the program hierarchy will display an inline loading spinner until the new level content finishes loading on screen.

School Choice: Visual Processing Feedback for Student Actions on Seating Unit Detail Page

Improved user experience in the School Choice Workspace by adding real-time visual loading indicators on the Seating Unit detail page. When administrators perform single-student actions—such as moving students between lists (waitlist, seated list, removed list) or updating seat eligibility and acceptance statuses—an inline loading indicator will display adjacent to the impacted row until the action finishes processing.

School Choice: Performance Optimization for Students and Seating Unit Detail Views

Enhanced data loading performance across the School Choice Students page and seating unit detail views (including Seated, Waitlist, and Removed lists). Submission records and program hierarchy metadata are batch-loaded, significantly reducing page load times and server round-trips for high-volume choice processes. Individual student moves and status updates will refresh only the affected records and counts rather than reloading the entire list.

School Choice: Enhanced Search Performance for Audit Logs

School Choice audit log search and filtering have been optimized to handle large volumes of historical activity records faster. Audit search queries, parent/child record matching, sorting, and pagination will execute directly in the database, reducing memory usage and delivering faster search results across district audit histories.

Permissions: Streamlined Seated List Reporting Permissions

Reporting permissions have been consolidated: the legacy Export Single Seated Report permission has been removed. Access to seated list reporting is governed uniformly by the 'Export Seated Reports' permission. Permission profiles that used to have the Export Single Seated Report permission will have the Export Seated Reports permission.

Permissions: Streamlined Waitlist Reporting Permissions

Reporting permissions have been consolidated: the legacy Export Single Waitlist Report permission has been removed. Access to waitlist reporting is governed uniformly by the Export Waitlist Reports permission. Permission profiles that used to have the Export Single Waitlist Report permission will have the Export Waitlist Reports permission.

Improved Configuration Experience for Custom Validators in Form Builder

To give administrators greater visibility and control when setting up form rules, the Form Builder will offer an improved configuration experience for Custom Validation validators. District administrators and specialists can review active validation rules directly in the element inspector and build complex validation logic more easily using an enhanced rule builder.

School Locator Map Regional Localization

PowerSchool Enrollment will dynamically localize Google Maps rendering within the School Locator feature based on the district’s country. Embedded maps automatically display region-specific geographic names, boundaries, and territorial labels tailored to the district’s locale, ensuring families and administrators see geographically accurate and appropriate map details.

Family Portal Help Icon Directs To Customer Central

The Help icon in the navigation header of Enrollment’s Family Portal will direct to PowerSchool’s updated knowledge base: Customer Central. Selecting the icon opens the new support destination in a separate browser tab across desktop, tablet, and mobile devices, replacing the retired PowerSchool Community link.

Google Maps API Key Authentication

PowerSchool Enrollment authenticates Google Maps platform services using modern API keys instead of legacy client ID credentials, ensuring secure, uninterrupted access to address geocoding and School Locator mapping features.

Resolved Issues

Description

Admin - Submission Workspace Form Field Search Performance

When administrators worked in the Submission workspace using views, filters, or column searches that referenced form fields on large sets of records, the page failed to load consistently. The browser frequently became unresponsive, timed out, or displayed an "Invalid View or Filter configuration" error message. This is resolved to filter, sort, and search form fields in the Submission workspace to load more efficiently. Performance may vary depending on the number of mapped columns and the total records in the view.

Admin - Snapcode Generation For Roster Notification Letters

When administrators notified student records using the Print Notification Letters task in the Roster workspace, the system failed to generate snapcodes for the selected students. Despite the missing snapcodes, the student records were moved to the Notified/Not Started view. This is resolved, and the system generates snapcodes during letter notification and ensures student records without a snapcode remain in the Imported/Added view.

Admin - Conditional Print Template Document Exports

When document export deliveries were configured to export print templates conditionally based on student criteria, the deliveries failed to process. As a result, expected print templates were not generated or delivered to the export destination. This is resolved, and the system evaluates conditional rules to generate and deliver the designated print templates.

Admin - Scheduled SFTP Job Timeouts

When the system ran scheduled jobs that deliver data to or import data from SFTP, temporary connection delays caused transfers to fail and left records undelivered. This is resolved, and the scheduled jobs will automatically retry transient connection timeouts before failing.

Admin - File deliveries with 'Insert When True' logic are empty

When generating file deliveries with conditional logic, qualifying records did not display in the exported files. This has been resolved, so Deliveries evaluate conditions properly and include all matching records in the export.

Parent - Duplicate Appointment Slot Booking

When scheduling an appointment for a family member, users were able to double-click the Confirm button. This resulted in duplicate slots being booked for the same family member. This has been resolved, so only one appointment slot is reserved per family member, even if the Confirm button is clicked multiple times.

Parent - Linked List Dropdown Field Selection

When filling out a form with linked dropdown fields that shared similar names, the dropdown options flickered or repeatedly reset to the default prompt. This prevented users from selecting options and caused delays when navigating between form pages. This has been resolved, so linked dropdown menus load and update stably without flickering.

Form Builder – Legacy Script Validator Migration Fix

Resolved an issue where migrating legacy script validators into custom validators could invert or alter validation rules. Migration will accurately translate valid rules and leave unsupported complex script logic safely intact as legacy validators.
