Setting Up a Data Source

Open the Data Sources Tab

To open the Data Sources tab:

  1. Open the form action menu.

  2. Select Configure Workspace Tools.

  3. Select Data Sources.

You can also access the same page by selecting the gear icon while viewing a workspace.

The Data Sources tab lists all Data Sources configured for the form.

Each row displays:

  • Data Source name

  • Import Type

  • Source Type

  • Connection information (for SIS sources)

  • Validation status

Legacy Configuration Migration

Legacy import configurations built on the Online Data Container (ODC) pipeline continue to appear on the Data Sources tab until they are migrated.

An unmigrated legacy configuration is read-only.

Migration begins when an administrator opens the legacy configuration or selects Edit.

Just-In-Time Migration

Migration occurs one configuration at a time.

During migration, the system:

  1. Syncs with the SIS.

  2. Converts the legacy configuration into a native Data Source.

  3. Validates the new configuration.

  4. Replaces the legacy configuration with the new Data Source.

On success, the administrator is taken directly to the new Data Source.

What Migrates

Migration carries over:

  • Data Source settings

  • Import Filters

  • Source Records

  • Subrecords

  • Import Conditions

  • Field Mappings

  • Processing Rules

Processing Rules are converted into Transform Rules where supported.

Scheduled Job Migration

When a migrated legacy configuration is used by a scheduled import job:

  • The legacy job is disabled.

  • A new Data Source-based job is created.

  • Scheduling settings are preserved.

  • Notification settings are preserved.

Create a Data Source

To create a Data Source:

  1. Open the Data Sources tab.

  2. Select Create data source.

  3. Select an Import Type.

  4. Select a Source Type.

  5. Enter a Name.

  6. Select a SIS Connection, if applicable.

  7. Configure Enablement, if applicable.

  8. Configure Import Filters, if applicable.

  9. Save the Data Source.

The Import Type determines which Source Types are available, and the selected Source Type determines where the data comes from and which settings you need. The setup displays only relevant fields; PowerSchool SIS and eSchoolPlus require a SIS Connection, while CSV does not.

Choose Which Students to Import

Use Import Filters to narrow the population of students included in a Roster import.

Import Filters are configured at the Data Source level.

Available Filters

Filter

Description

Student Status

Limits imports to students with selected enrollment statuses.

School ID

Limits imports to students enrolled in specific schools.

Grade Level

Limits imports to students in selected grade levels.

Student Number / Student IDs

Limits imports to specific students identified by student number (in PowerSchool SIS) / Student IDs (in eSchoolPlus).

Filter Rules

  1. Import Filters are subtractive. Only students that satisfy all enabled filters are included.

  2. Multiple enabled filters must all be satisfied.

  3. Student Number / Student IDs filtering takes priority and limits the import to the specified students regardless of other filters.

Use for PPD or YRU

Configure a Pre-Populate on Demand Data Source

  1. Create or edit a Data Source with the Pre-Populate on Demand Import Type.

  2. Enable Use for Pre-Populate on Demand.

  3. Save the Data Source.

Only one Data Source per form can be designated for Pre-Populate on Demand.

If another Data Source is already designated, a confirmation message is displayed before the designation changes.

Configure a Year-Round Update Data Source

  1. Create or edit a Data Source with the Year-Round Update Import Type.

  2. Enable Use for Year-Round Update.

  3. Save the Data Source.

Only one Data Source per form can be designated for Year-Round Update.

If another Data Source is already designated, a confirmation message is displayed before the designation changes.

Edit, Duplicate, or Delete a Data Source

To review or change a data source, open it and select View and edit in the header. You can update its name, SIS connection, enablement settings, and import filters, but you can’t change its import type or source type.

To make a copy or remove a data source, return to the data source grid and open its More actions (three-dot) menu. Select Duplicate to create a copy of its source records, subrecords, field mappings, transform rules, and import filters. The copy won’t include PPD or YRU designations or scheduled jobs.

Select Delete to permanently remove the data source and its associated source records, subrecords, field mappings, and transform rules. This action can’t be undone.
