Roster imports are run manually from the Import Data page.
A Roster import uses the selected Data Source configuration to determine:
-
Which students to import
-
Which records to select
-
Which values to map
-
Which Transform Rules to apply
Pre-Populate on Demand and Year-Round Update do not use the manual Roster import process. Instead, they import source data automatically when the associated workflow begins.
Regardless of source type, all Roster imports use the same processing pipeline after data is retrieved.
Import a CSV File
A CSV Data Source imports data from a file rather than a live SIS connection.
To import a CSV file:
-
Open the Import Data page.
-
Select the CSV Data Source.
-
Upload the CSV file.
-
Select an Error Handling Mode.
-
Select Begin Import.
The system processes the file using the Data Source configuration and imports data into the Roster Workspace.
During processing, the system:
-
Reads the file rows.
-
Applies Field Mappings.
-
Applies Transform Rules.
-
Matches records using the configured primary key.
-
Creates, updates, or leaves records unchanged.
CSV imports support the Roster Import Type only.
Import from a SIS
PowerSchool SIS and eSchoolPlus Data Sources import data through a live SIS connection.
To import from a SIS:
-
Open the Import Data page.
-
Select the SIS Data Source.
-
Select an Error Handling Mode.
-
Select Begin Import.
Before processing begins, the system checks connectivity.
If the system cannot reach the SIS connection, the import stops immediately, and the run does not begin.
When the connection is available, the system:
-
Applies Import Filters.
-
Retrieves the student population.
-
Applies Import Conditions.
-
Processes Field Mappings.
-
Applies Transform Rules.
-
Matches records in the Roster Workspace.
-
Creates, updates, or leaves records unchanged.
Understand Import Results
After a student record is processed, the system compares the incoming values to existing Roster Workspace records.
|
Result |
Description |
|---|---|
|
Added |
No matching record exists. A new Roster record is created. |
|
Updated |
A matching record exists and the imported values differ from the stored values. |
|
Unchanged |
A matching record exists and the imported values are identical to the stored values. |
|
Skipped |
The record cannot be processed because the primary key is invalid or the record is already in progress. |
Records with the following statuses are skipped:
-
Started
-
Submitted
-
On Hold
Import Completion Summary
When the import finishes, the summary displays:
-
Done importing records.
-
X record(s) added.
-
Y record(s) updated.
When unchanged records are reported, the summary also includes:
-
Z record(s) unchanged.
Understand the Import Progress Dialog
Import processing occurs in multiple parallel stages.
The Import Progress dialog displays:
|
Counter |
Description |
|---|---|
|
Records to process |
The number of records discovered so far. |
|
Records processed |
The number of records that have completed processing. |
Both values can increase simultaneously while the import runs.
This behavior indicates that the system is continuing to discover and process records at the same time.
CSV File Requirements
A CSV file must meet the following requirements:
-
The first row must contain column headers.
-
Each subsequent row represents one student record.
-
Empty cells indicate that the mapped field contains no value.
-
A file that contains only headers and no data rows is valid.
-
A header-only file imports successfully and processes zero records.
Error Handling Mode
An Error Handling Mode is selected each time an import is run.
The mode is not stored on the Data Source.
Exclude Records with Errors
This is the default mode.
If any mapped value fails validation, the entire record is skipped.
No values are written for that student.
Import Records with Errors while Excluding Fields with Errors
The system writes valid fields and excludes only the fields that contain validation errors.
