Student Maintenance: Student Search

Overview

Student Maintenance defaults to the Demographics view, which will provide you no information unless you initiate a Student Search on the left side of that default page. Student Search remains anchored there across all 10 screens below Maintain Student:

Student Maintenance: Early Years Experience


The Student Search panel consists of the Search Criteria section and Search Results list. The regular search view is displayed by default when the page loads. You can switch views by clicking on Advanced or Regular. Define your search criteria and use the Search button to get a list of students that match your criteria. 

The Find Student function attempts to locate a student who may already be in the database before he is added, thus preventing duplicate students. The screen is very sensitive, and a student will not be found if his name is misspelled, or if any incorrect information is entered. If there is a long list of students, you might not notice the correct student in the scrolling list, especially if her legal name is different from her preferred name.
Thus, defining any of the following fields, OEN, Student No. and Ministry No., will improve the chances of locating a student.
Search results will list all the students that match the combination of Surname, First Initial, Gender and Birthday, and all students that match the Student Number or the Ministry Number or the OEN specified.

Security

  • Access to the student's data and modification options are determined by the All Students and Update flags.
  • If you have a role with the All Students flag set to "On," you have access to all students within your school. 
    • The Student Search panel in each page will yield the list of students meeting search criteria without additional restrictions. If the All Students flag is set to 'Off' for all your roles, Student Search performs your search within the set of students you have access to. (The system keeps the list of available students for each user).
  • If the Update flag is not set to 'On', you cannot modify or delete information. The Save, Add and Delete buttons on the pages will be disabled. Editable controls will be transformed to non-editable as described in corresponding sections.

Selected Student

This section displays information of the selected student. The student's picture will be displayed if available. The student's Name, Gender, Age Today, Track, Status, Grade, Total Lates/Absences, Student Number, OEN, Homeroom, in the selected school and year display.


Possible icons – explained in Demographics – that are displayed for medical alerts, sheltered student, alerts (attendance, behaviour, etc), special custody, special education, siblings, and/or expulsion will appear when the associated setting is 'ON'. An example would be when the Medical Peril check box is set `ON` from the Medical accordion bar. All but the Sheltered Student icon will produce a popup of basic information. These popups are intended to alert the user that there is additional information on the student.
 
The Reports button opens to display the list of all reports pertinent to a single student.

Regular Search



Student Search

Preferred name will be the default for all instances of name selection. The user can enter a portion of the Surname or First Name as a search parameter.

Advanced Search



Preferred Name

Selecting the radio button for Preferred and entering a portion of the name produces a list of all possible matches by the selection.
Enter the preferred surname. You can also enter part of a surname, and the resulting list will show every student whose name begins with those letters. This field is not case sensitive, so "a" and "A" will both find the same list of students.

Legal Name

Selecting the radio button for Legal and entering a portion of the name will produce a list of all possible matches by the selection.
Enter the legal surname. You can also enter part of a surname, and the resulting list will show every student whose name begins with those letters. This field is not case sensitive, so "a" and "A" will both find the same list of students.

Status

Select all or some statuses to search by status. A list of all possible matches by the selection will be produced.

Student No

Enter the Student Number as a search criterion. The fields are formatted automatically. A list of all possible matches by the selection will be produced.

OEN

Enter the OEN as a search criterion. The fields are formatted automatically. A list of all possible matches by the selection will be produced.

Gender

Use this field to search by a specific gender. A list of all possible matches by the selection will be produced.

Grade

Use this field to search by a specific grade. A list of all possible matches by the selection will be produced.
