Student Maintenance: Special Education

Overview

In TWebSchAdmin, in 5.40.00 and newer, the Special Education form is used to maintain Special Education information on a single student.

From Student Maintenance, Hover over Maintain Student, then Click Special Education.


Security 

Access to the screen is controlled by the security task STUMNT - StuPro - Special Education Access.
 

Begin by Searching 

Click Special Education, bringing you to the Student Search Window.

To perform a simple search: Entering even one letter of the Student's Surname and Clicking Search is enough to initiate the Search, but the more info you fill into the Search Window, the more refined your Search will be. The less refined your Search is, the more likely your return will be: "Too many rows returned, please narrow your search by defining additional criteria."

To perform an advanced search, Click Advanced and then fill in as many filters as you care to, in order to refine your search.


Fields You'll Find on the Special Education form 

 When the results fill in, Click the name of the student you want. You'll be taken to their Special Education Form. 

FieldDetails

 High Needs Amount

Select the level of instruction for High Needs Amount from the picklist.

Special Education File Number

Enter the student SPED file number.

Last IPRC Review Date

Contains the last IPRC review date for the student, as recorded by the user.

EXCEPTIONALITY, PROGRAM & PLACEMENT TABLETo avoid potential conflict in a student’s records, the Start Date for new Exceptionality, Program or Placement records will be checked against the End Date of the previous such records. New records will have a Start Date that is equal to or greater than the End Date of the corresponding previous record; the ability to end and start an Exceptionality, Program or Placement record on the same date will exist.

Edit

When clicked, the Edit Special Education pop-up window opens.

IEP Information

Opening the IEP pop-up will be available if your board has a license for Trillium Web Special Education (TWebSE).

Click this button to produce a pop-up where all the IEP Information from this School Board for this student appears. The table includes School Year, School Code, IEP Number, and IEP Reason.

Display Past Records

Only the current special education information for the student will display. The exceptionality, placement, and/or program can only have an End Date greater than today (the first row of the grid would be displayed). When you select the Display Past Records checkbox, all special education for the entire school board will display (the additional three rows in the grid).

Exceptionality

       Name

The student’s Exceptionality.  If this is the reported Exceptionality the Main Exceptionality (M.E.) flag will be on.

Placement

       Name

       Rpt.

       IEP Req.

The student’s Placement for the Exceptionality. If this is the reported Placement, the Rpt flag will be on. If the student does not require an IEP, the IEP Required checkbox will be deselected.

Program

       Name

       Level

       Location

The Program for the Placement, along with the Level and Location.

Start Date

The Start Date for the Exceptionality, Placement, and Program.

End Date

The End Date, if applicable, for the Exceptionality, Placement, and Program.

The checkboxes are visible if you have update privileges.

M.E. Flag

Set the Main Exceptionality (M.E.) flag to indicate that this Exceptionality is the main Exceptionality when reported to the Ministry of Education on the OnSIS Transmission File. Validation will be performed to ensure that all rows with the Main Exceptionality flag set on do not have overlapping dates. If the student has more than one Exceptionality, only one can be Main at a specified date range.

Exceptionality

Select the Exceptionality that has been identified for this student. The options are designated in the Exceptionalities validation table. This is a mandatory field.

Note: Only one Exceptionality within the same date range can be reported to OnSIS. If a student has multiple exceptionalities to be reported to OnSIS, use the "Multiple Exceptionalities" exceptionality. When doing do, the components which make up this designation must be identified in the Show Multiples pop-up. You must choose at least two exceptionalities in that case.

Start Date

Enter the Start Date of the Exceptionality. This is a mandatory field.

End Date

Enter the End Date of the Exceptionality, if known.

PLACEMENT

Select/Deselect

The checkboxes are visible if you have update privileges.

Report Flag

Select this checkbox to indicate the Placement and related Exceptionality are to be reported to the Ministry of Education on the OnSIS Transmission File. Only one Placement within, and the same Exceptionality in, a specified date range may have the Report flag checked.

IEP Required

Select this checkbox to indicate if the student should have an Individualized Education Plan (IEP). Since the student's actual IEP can be held in a third-party product, this flag is used by Trillium to report to OnSIS whether the student has an IEP.

Placement

Select the Placement that has been identified for this student. The options are designated in the Settings validation table.

This is a mandatory field.

Start Date

Enter the Start Date of the Placement. This is a mandatory field.

End Date

Enter the End Date of the Placement, if known.

 PROGRAM

Select/Deselect

The checkboxes are visible if you have update privileges.

Program

Select the Program(s) identified for this student. The options are defined in the Programs validation table.

This is a mandatory field.

Program Level

Select a Special Education level from the picklist. This is a mandatory field.

Location

Select the school offering the program and level from the picklist. This is a mandatory field.

Start Date

Enter the Start Date of the Program. This is a mandatory field.

End Date

Enter the End Date of the Program, if known.

COMMAND BUTTONS

Save

Saves all new and modified data to the database.

Save and Close

Saves all new and modified data to the database and closes the pop-up window.

Add 

Adds an empty row to Exceptionality, Placement and Program tables, if you have update privileges.

Delete

Deletes the selected row from the Exceptionality, Placement and Program tables, if you have update privileges.

Show Multiples

Visible only if the current Exceptionality is Multiple Exceptionalities. Click Show Multiples to produce a pop-up where the components of the Multiple Exceptionality are designated.
