Using the G-day Absence Code

Overview

The Ontario Ministry of Education expanded the use of G-day codes for more Attendance records than in the past, beginning with School Year 2017-2018. The revised 2017-18 enrolment register guide is here: enrolment_register_instructions.pdf


Absence of an Individual Pupil

Enter “G” for a General Absence day in the pupil’s Daily Attendance Record, and enter the Date and the Reason in the Daily Absence Report (Daily Telephone Contact List) for the school. The following are examples of reasons for assigning a “G” day for an individual pupil:

  • The day is a holy day for the pupil.
  • The day is a cultural day for the pupil.
  • The pupil is participating in a field trip or school-orchestrated sports trip.
  • The pupil is under bereavement.
  • The pupil is participating in the non-academic component of a Supervised Alternative Learning (SAL) program in accordance with Ontario Regulation 374/10.
  • Bad weather (e.g., a snowstorm) prevents the pupil from going to school, including a pupil who takes the school bus, who is driven to school, or who walks to school.
  • The pupil is receiving private instruction in music for up to a half day in any week.
  • The pupil is serving in the Ontario Legislature as a legislative page.
  • The pupil is a Kindergarten or Junior Kindergarten pupil who is excused from class during a period of staggered admission (see “Staggered Admission in Kindergarten”).
  • The pupil is absent for reasons of safety during a period when services have been withdrawn by board employees.
  • The pupil is participating in a short-term educational exchange program (see “Short-Term Exchange (Less Than 5 Months)”).
 

Signing Those Students Back In: Use Excused Sign In

Students returning from a G-day should use Excused Sign In to return to the school. We have two illustrations.

 

Scenario 1: Student signs out during first period, returns later same day

2. When your Student returns, use Excused Sign-InAnswer No to the message indicating there are existing Attendance records, and asking if they should be kept.

3. Final result shows the student Excused for a portion of one class, since she returned during that class. Answering No, above, allows you to change the previously entered Attendance, beginning with the Period in which your student returned. Trillium retains the G-Day codes and comment for the Periods during which your student was away.

4. If your student signs in during lunch or between classes, an Excused record is created for that non-instructional period:

Scenario 2: Student doesn't attend for a portion of the morning, signs in later same day

 1. Mark Student as G-day attendance code for the entire day.

2. When your Student returns, use Excused Sign In. Answer No to the message indicating there are existing Attendance records, and asking if they should be kept.

3. Final result: An Excused record is created for the Period in which the student signed in.

Signing Those Students Back In: New information

In TWebSchAdmin 5.41.00, we made changes. You now have the the ability to sign in an Individual student, or groups of students, using a G-day code. This feature is available on the Individual Attendance, Class/Group Attendance, and Admit Slip pages of Admin Attendance.

When Students sign in late:

  • If your student has no Attendance entered for the day, we will mark:
    • The previous Periods with the Attendance type of the sign-in (A, G, E);
    • The Period of sign in as L, E or G (as appropriate);
    • All future Attendance Periods as Present.
    • No additional prompts are provided.
  • If your student already has Period Attendance recorded for the day, a pop-up window appears, showing their current Attendance, before any changes for the sign-in are applied. 
    • You will be asked to identify any Attendance that should be be left untouched;
    • Periods where the student has no Attendance recorded will be displayed so you have the ability to keep the Present  Periods as well.
    • If your student has signed out previously in that day, you will want to select those Periods, so their Attendance is not changed
    • The rest of the day, in most cases, will be left unselected.
    • If your student has E, G or Non-instructional Attendance recorded for Periods later in the day, an additional Comment displays in the instructions, alerting you that these types of records exist. It will be your responsibility  to select those upcoming Periods, if that Attendance should be maintained. 

Note: If Attendance is being entered for multiple days, the list would contain all the Periods for each day.  Periods where your student has no Attendance recorded still need to be displayed so you have the ability to keep the Present Periods as well.  Periods where the student has no Class assigned will not need to be displayed.  Future Periods that do not have any Attendance recorded will not need to be included in the grid.

Class/Group Attendance is the next frontier

We will consider making a similar change for the Class/Group in the spring, 2019 release, pending the design of the interface required when multiple students and multiple days are updated.
