Student Maintenance: Phones and Emails

Overview

In Student Maintenance > Demographics, Phones and Emails is the fourth of seven accordion bars under Demographics. It allows you to maintain the selected student's phones and emails.

  • A student may have several phones and/or emails on file.
  • If you do not have privileges to access this bar, you won't see it.
  • Like Addresses, you see Summary information until you Click Edit. Then you can view/edit details.

Phones list

  • This is the list of active phones defined for the selected student.
  • Click Edit to maintain student phone(s). This brings up the Edit Phones pop-up, on which you can add, delete and copy phone records.
  • In Phone Details, Priority goes across the various Types; you can have only one No. 1, one No. 2, etc. You cannot have a No. 1 Cell Phone and  a No. 1 Home Phone. The primary purpose is to establish the order in which staff should use the phone numbers.
  • Click Copy to copy a Phone number to a Student's Contact(s). 

Edit Popup Controls

Priority

Use this field to order student's phones regardless of phone type. The system uses this to be able to identify which phone to select when the student has more than one active phone. The system will select the one with the highest priority. Example: If the student has several phones defined.  On a report or when extracting a student's phone, the system will pick the address with the highest priority regardless of its type (home, cell…etc.)

Type

Select the type of phone record from the picklist.

Area 

Enter the area code. An area code will be defaulted if your board defined one.

Phone 

Enter the phone number.

Extension

Enter the extension (if applicable).

Listed

Select this box to indicate whether the phone number is listed.

Start Date

Enter the date that this phone number goes into effect.

End date

This field can be left blank for new phone numbers. Discontinued phone numbers can either be deleted or end-dated. Either method will ensure that an old phone number will not be displayed on a report.

Emails list

  • This is the list of emails defined for the selected student.
  • Click Edit to maintain student email(s), which brings up the Edit Phones pop-up, on which you can add, delete and copy phone records. 
  • Email Priority is not based on numbers; it's based on Primary/Alternates.The primary purpose is to establish the order in which staff should use the email addresses.
  • If you edit a phone number, when you go to Save the edit, you'll receive a pop-up window which offers to make the same change for Contacts/Siblings. If you wish to do so, select them on the pop-up and Click OK.

Use this pop-up to add, update and/or delete emails for the selected student

Priority

Select from the list the priority of use of this email. Primary emails will be displayed on reports and will be used when extracting student information.

Email

Enter the student email address.

Start Date

Enter the date that this email goes into effect.

End date

This field can be left blank for new emails. Discontinued emails can either be deleted or end-dated. Either method will ensure that an old emails will not be displayed on a report.
