EAS: Class Subjects

This is the third tab card option in the Elementary Achievement Setup module. This page is designed to create the Grade/Subject/Teacher combination and assign them to a Class; maintain Subject attributes and display Subjects in all Classes for all Grades. 
This page consists of three accordion sections – Subjects Assigned to Class, Subject Matrix and Update Teacher Assignments. The first, Subjects Assigned to Class, is the default. 

Security

This page is controlled by the Security Task EAS - Subjects to Class. The application must adhere to the "Update Flag" setting for the particular user when determining  if fields are editable. The "All Students" flag must be set "On" or no updates will be allowed.

Subjects Assigned to Class

This page allows creating the Grade/Subject/Teacher combination for each Report Period and assigning it to a Class, as well as maintaining Subject teachers, Subject and strand Delivery Mode and IEP, subject Co-Ed or Blended indicators. 

Initial State

Choosing Subjects Assigned to Class opens the first accordion bar. You must select a Class from the picklist. The selected Class attributes display, and the Subjects assigned to the selected Class are listed in the grid.
The Subjects are sorted by Grade and then in alphabetical order with the exception of the Optional subjects, which will appear as last rows on the grid in alphabetical order. 

Note: Users requested the ability to add the same Subject/Grade combination to a Class in order to address their challenges in setting up Elementary Achievement. In order for you to have this ability, you must be assigned the existing Security Task from Core Trillium (Override Subject/Grade Combination restriction). If you have that, when you add a Subject to the Class a 'Show all subjects' checkbox displays on the right side of the Add section. By default, this checkbox is empty. When the checkbox is clear, the list of Subjects displayed in the Add section will only be the appropriate subjects that have not yet been assigned to the Class. In order to add a duplicate subject, you'll need to check on the 'Show all subjects.' That makes Subjects already assigned to the Class available again.
 

Page Controls

Class

Picklist of Classes in the current user's school and year. The first Class in the list is the default. 

Description

Description of the selected Class 

Homeroom Teacher

Class default teacher. 

Homeroom

Indicator of whether the selected class is primary, alternate homeroom or not a homeroom class. 

Second Teacher

The name of the second teacher assigned to the class, if applicable. 

Class Type

Class Type is the OnSIS classification of Classes: Extended Day Program, Early Learning Classes, Special Education, and Regular. This is used to report classes to OnSIS. 

Add Subjects to Class

Clicking Add opens the area and displays all Subjects that can be assigned to the Class. 

Report Period

  • Checkboxes for P, 1, and 2
  • Multi selection is allowed
  • All Report Periods are selected by default 

First Teacher

  • Picklist populated with the names of all the teachers in the school who are active at any time between school year start and end dates
  • Single selection is allowed
  • The teacher Staff Number displays following the name.

Second Teacher

  • Picklist populated with the names of all the teachers in the school who are active at any time between school year start and end dates
  • Single selection is allowed
  • The teacher Staff Number displays following the name.

Grade

  • List of elementary grades in the school (JK and SK are excluded).
  • Checkboxes allow for the selection of multiple grades.
  • This is a mandatory field and there is no default value. If you do not select a Grade, Apply to Class is disabled. 

List of Subjects

The grid lists all required and optional subjects available at the board for the selected grades

  • Allows you to identify the subjects to be added to the selected Class with the appropriate attributes. 
  • Subjects that have already been assigned to the Class for the specified grade level will not appear in the list.  This prevents duplicate subject/grade combinations.
  • Subjects are displayed alphabetically with the exception of the Optional subjects, which are appended to the bottom of the list and sorted alphabetically within themselves

Delivery Mode

Picklist populated with the Delivery Modes applicable to the specific Subject

  • Single Selection
  • The default for French is Core
  • Making the selection populates all selected Report Periods for the Subject

IEP

  • Checkbox
  • Making the selection populates all selected Report Periods for the Subject
  • Default is Off

Co-Ed

  • Checkbox
  • Visible for Health & Physical Education only
  • Default is On

Blended

  • Checkbox
  • Default is Off
  • Blended Learning means the Subject involves online learning activities and/or resources from the board's Learning Management System (LMS).
  • Trillium uses this flag as part of the integration process with the D2L application.

Grade

Displays the subject's grade level

Subject

Report Period

Check boxes for P, 1, and 2 Report Periods
If a Report Period is unselected, Trillium will validate if any student achievement records existing for the Class Subject and Report Period. If yes - the user is presented with an error message and Subject cannot be deleted.   

First Teacher

  • Displays the Subject Teacher for the current date. If the date falls outside of the school year or the Subject isn't in the current Report Period, Trillium will push either forward or backward (based on where today falls with regards to the current school year) to determine the date to use to display the teacher's name.
  • To select another teacher for all or some Report Periods the magnifying icon at the end of the row is utilized to produce the Multiple Teachers Pop-Up.
  • An icon showing two people is displayed when the same first teacher has not been assigned to all Report Periods for the subject. 

Second Teacher

  • Displays the Subject Teacher for the current date. If the date falls outside of the school year or the Subject isn't in the current Report Period, Trillium will push either forward or backward (based on where today falls with regards to the current school year) to determine the date to use to display the teacher's name.
  • To select another teacher for all or some Report Periods the magnifying icon at the end of the row is utilized to produce the Multiple Teachers Pop-Up.

Delivery Mode

Populated with the Delivery Modes applicable to the specific Subject in all Report Periods   

IEP

Checkbox indicating whether the student has an IEP for the subject or strand. 

Co-Ed

Visible and editable for Health & Physical Education only 

Blended

  • Checkbox
  • Blended Learning means the Subject involves online learning activities and/or resources from the board's Learning Management System (LMS).
  • The flag is used by Trillium as part of the integration process with the D2L application.

Native Language

Drop-down list populated with native languages
Visible for the Native Language Subject only 

Command Buttons


Save

Clicking Save saves the Class Subjects into the database.
 

Add

Clicking Add causes the collapsible area to roll open, making available the selection criteria needed to assign Subjects to the Class.
 

Apply to Class

Opening that displays a new choice, Apply to Class, which performs the following:

  1. Creates Subject instances for the specified Grade with the selected First and Second Teachers for the Class. Duplicate Subject/Grade combinations are not allowed, with one exception. The exception is the Subject of non-Co-Ed Health or Phys Ed, where we also check the Teacher's gender.  In this case, two subjects are equal if the combination of Subject, Grade and First Teacher gender is the same.

Note: Any validation error will be displayed beside the control buttons; the "Add Subject to Class" area stays open in case of validation errors.

2. Creates Subject instances for the specified Grade(s) with the First and Second Teachers selected in each Report Period selected and adds them to the Class Subjects list.

  • If the selected grades include both grades less than Grade 7 and Grade 7 or 8, the subject list will include Social Studies, History and Geography.  
  • Clicking Apply to Class causes Trillium to ensure that Social Studies is only applied to grades less than 7; while History and Geography are only applied to grades greater than 6.

3. The "Add Subject to Class" collapsible area will roll closed. The Save, Add, and Delete buttons are enabled.
The Subject default teacher will be calculated as a First Subject Teacher for the current date. If the date falls outside of the school year or Subject isn't in the current Report Period, the first Subject Teacher in Report Period P or 2 (based on where today falls with regards to the current school year) who will be the default teacher. default teacher is the field that is required for backward compatibility with Core Trillium.

Cancel

 The "Add Subject to Class" area rolls closed, without making any changes.
 

Delete

Prior to deleting the rows, Trillium will validate whether any student Achievement records exist for the Class Subject. If yes - you're presented with an error message and the Subject cannot be deleted.  Otherwise, the selected rows are deleted.
 

Subjects Detail Button

  • This button is visible only for the Subjects that have Strands.
  • Clicking the button displays Subject Details pop-up
  • The pop-up window allows changing the Delivery Mode and IEP indicator for every Strand.
  • The list of Delivery Modes is dependent on the Subject/Strand/Report Period combination.

Multiple Teachers button

Clicking the Search icon beside the First and Second Teacher fields in the Class Subjects list brings the Multiple Teachers pop-up
The pop-up window allows changing the teachers in different Report Periods.
 

Subject Matrix

This is the second accordion bar on the Class Subject page.

Purpose

The Subject Matrix displays the Subject information for all Classes within your school. Clicking any column name sorts by that field; available for all fields except checkboxes.  The list is automatically sorted by Class, Grade, and Subject.  This information is display-only.

The First and Second teacher displayed are the teachers assigned for the current Report Period.


Update Teacher Assignments

Overview

  • This is the third accordion bar on the Class Subjects page.
  • This section displays all Classes and Subjects for the teacher you select. On this page, one or more of a teacher’s assignments can be reassigned to another teacher.   
  • Once you select a teacher, the grid populates with all the Subjects they teach. You can then select the teacher who will replace this one; as well as select the rows that reflect the Class and Subjects to be modified. This grid displays that information broken down by Report Period, to allow you a greater level of granularity. 
  • If a teacher is to be replaced for a non Co-Ed Phys Ed or Health class, the replacement teacher must be of the same gender. 
  • Clicking any column name sorts by that field; available for all fields except checkboxes. The list is automatically sorted by Class, Grade, and Subject.

First Teacher

Second Teacher

Displays the second subject teacher for the corresponding Report Period

Displays the teacher only if it matches the "Select Teacher," and leaves the field blank if it is another teacher. This facilitates easy identification of which subjects and Report Periods are taught by the selected teacher.
