Manage work-based learning
Overview
From the Work-based learning (WBL) Overview page, assess key WBL metrics, review recent activity, and approve or reject hours, opportunity updates, and connection requests.
Manage opportunities
Review and edit opportunity details
Navigate to Careers and select Work-Based Learning.
Select Opportunities.
Select the opportunity name to review the details.
Optionally, edit or add additional opportunity details.
Edit or add additional details.
Choose the section to modify and click the edit icon.
Choose an option from Add more details.
Add or update the information and click Save.
If the opportunity has already been published, changes will automatically be applied. You do not need to republish it.
Opportunity notes
Navigate to Careers and select Work-Based Learning.
Select Opportunities.
Click the opportunity name.
Select Notes.
Review or enter notes for the opportunity. Notes are not available to students.
Publish an opportunity
Navigate to Careers and select Work-Based Learning.
Select Opportunities.
Select the opportunity name.
Click Publish.
Choose the students you want to share the opportunity with and click Add.
Optionally, from Manage access, update the access level for the group.
Click Publish.
Change opportunity access
Navigate to Careers and select Work-Based Learning.
Select Opportunities.
Click the opportunity name, and then select Publish.
From Manage access:
Select Apply or register and choose Review only from the list.
Click delete to remove access.
Click Publish.
Additional opportunity actions
Navigate to Careers and select Work-Based Learning.
Select Opportunities.
Select the opportunity name and click Actions.

Action | Details |
---|---|
Inactivate | Inactivating an opportunity will make it unavailable to students. Any student engagements or hours related to this opportunity will remain. If you choose to reactivate it later, you will need to publish it again for students to access. |
Delete | Deleting an opportunity will:
This action cannot be undone. To keep the opportunity without losing data, inactivate it instead. |
Duplicate | Duplicating an opportunity will create a copy of it. Select the copy to modify the details. |
Cancel | Canceling an opportunity will change the status to canceled. Students will be able to review the opportunity, but they will not be able to participate. |
Manage opportunity tags
Navigate to Careers and select Work-Based Learning.
Select Opportunities.
Click Manage tags.
Select a previously created tag and click edit or delete.
Optionally, enter a Tag name and Description and click Save tag.
Manage organizations
Review organization details
Navigate to Careers and select Work-Based Learning.
Select Organizations.
Select the organization to review details, including:

Contacts
Student engagement for related opportunities
Documents
Additional organization actions
Navigate to Careers and select Work-Based Learning.
Select Organizations.
Select the opportunity name and click Actions.
Choose an action.
Action | Details |

Edit | Update the details, and click Submit. |
Merge | Merging an organization will combine all contacts, opportunities, and company details. After the merge, only one organization will remain. |
Inactivate | Inactivating an organization will also inactivate any associated contacts and opportunities. If you choose to reactivate the organization later, you will need to reactivate the contacts and reactivate and republish the associated opportunities for students to access. |
Delete | You cannot delete an organization with associated contacts. Unlink the contacts or reassign them to another organization. Deleting this organization will exclude it from reporting. This action cannot be undone. To keep the organization without losing data, inactivate it instead. |
Manage contacts
Review contact details
Navigate to Careers and select Work-Based Learning.
Select Contacts.
Select the contact to review details, including:

Student engagement for related opportunities

Navigate to Careers and select Work-Based Learning.
Select Contacts.
Select the contact and click Actions.
Choose an action.
Action | Details |

Edit | Update the details, and click Submit. |

Delete | You cannot delete a contact with associated opportunities. Reassign them to another contact or merge the contact to transfer all opportunities at once. Deleting this contact will:

Manage student engagements
Add an engagement
Navigate to Careers and select Work-Based Learning.
Select Add and choose Engagement.
Search for and select the student.
Optionally:
Select Link to existing opportunity and then select the opportunity from the list.
Select Link to new opportunity, click Add opportunity, and enter the opportunity details. The opportunity details will only be displayed to the student assigned to the engagement.
Click Submit.
Change engagement status
Navigate to Careers and select Work-Based Learning.
Select Student engagements.
Click Actions, choose Update status, and select a status.
Manage hours
Students can submit hours for opportunities they’ve engaged with. After they submit their hours, review and record their progress.
Approve hours
Navigate to Careers and select Work-Based Learning.
From Overview, navigate to Hour approvals.
For the selected hours, click Actions and then choose Approve or Reject.
Review hours
Navigate to Careers and select Work-Based Learning.
Select Hours.
Enter hours for a student
Navigate to Careers and select Work-Based Learning.
Select Hours.
For the student, click Actions and select Manage hours.
Select Single day or Range of days, and then choose the dates.
Enter the Number of hours and click Add hours.
