Overview

The fixes in this Release address parts of the situation which grew out of 2016-2017 discrepancies between student absences reported under the student enrolment section and the student class enrolment or report card sections; and warnings generated when a student’s total classes should be less than the course’s total classes.

We reviewed our processes with the Ministry. The Ministry clarified what information they want and how they will validate the two absences' values. We came to the mutual conclusion no changes are required to how Trillium calculates and reports Student Enrolment absences. We will be making the other changes explained in the chart below.

For 2017-2018, the Ministry will change its processes. It will add the student enrolment absences reported for October, March and June; and then use the June Report Card absences data for Term 1 and Term 2 for comparison purposes.

Please do not use Excel to edit, modify or save your CSV files as it changes formatting and causes errors during the loading of these files. Notepad should be used to edit, modify or save those files.

Snapshot

The OnSIS snapshot was designed to populate the Total Classes - Student field from the class meetings value on the student's report card. The Ministry has indicated that they want the value reported to OnSIS to be based on the student's enrollment in the class, not what appears on the report card.

Our snapshot will continue to use the total classes reported on the report card for students who were enrolled in the class for the whole duration. It will calculate the student's total classes if the student:

Entered the class after it began;
Left the class early;
Dropped and re-enrolled in the same class.

Note: We are recalculating the number of classes when the student enters the class late or leaves early. As a result, the Snapshot will take longer to generate. How much longer depends on how many students require recalculation.

Snapshot

Trillium OnSIS incorrectly generated an error, Total Classes - Student must be less than or equal to Total Classes - Course, when the student's Earned Credit value was different than the Attempted Credit value. We've fixed that.
