Student Maintenance: Send Students to Continuing Education

Overview

Go here: Student Maintenance  > Transfer Student > Send Students to Continuing Education. This page is used to transfer students to Continuing Education schools. When doing so, once you transfer and register the student, you cannot transfer them from this page again to the same semester/term, even if the student has departed the ConEd school. It must be done through the ConEd school Add New Student functionality. This page is not applicable to ConEd schools.

Security

This feature requires the All Students flag to be set ON and it adheres to the Update Flag setting for the particular user's role when determining if the functionality action buttons are visible.
If you are assigned proper tasks but have the All Students flag set OFF, then regardless of the update flag settings, you'll have Read-Only access to the page.
Here are the Security Tasks controlling access to this feature. There are also board preferences that control access to some pieces of information used while registering a student.

Page Controls

SEND DEFAULT VALUES
This section is used to define the values that are required to send students to ConEd schools.


Send to

From the picklist, select the school at which the majority of students will be taking courses. Only ConEd schools within your Board are listed.

School Track

Select a school Track from the picklist.

Semester/Term Effective Date

Enter/Select the effective date on which the transfer should be in effect. Once entered, the corresponding Semester/Term will be displayed in the Semester/Term field.
If you do not know the date, then select the semester/term and the system will set the Effective Date to the Start Date of the selected Term

Semester/Term

Select the Semester/Term to which the student will be transferred.
If the Effective Date is blank or it is not applicable to the selected Semester/Term, the system will set the Effective Date to the Start Date of the selected Term.

Student Search
The fields in this section should be used to filter down the list of searched students.


Grade

Select the Grade to limit the student list to only students in it.

School Track

Select a school Track to find only students who are enrolled in it.

Student Name

This field is used to find a particular student. Start typing the name to get a list of students who match your search. Only students that are active with no future transfer records, no future departure record, and no future share records will be displayed.
 
You must select a student from the list to transfer. Partial names cannot be found.

Not Sent

Select this option to find active/PreReg students as of system date that are not sent to the selected ConEd school in the selected Track and Demester/Term.

Sent

Select this option to find students based on the selection criteria selected that were transferred, but not yet registered, to the selected School, Track and Semester/Term

Sent and Registered

Select this option to find students based on the selection criteria that were transferred and registered in a ConEd school this year.

Find Button

Click this button to get students based on your search criteria selection.

Search Results
This section displays the list of students as per your search criteria selection

  • You'll be able to transfer one or more students;
  • You'll be able to undo send for one or more students.


Select/Deselect

A checkbox is used to allow you to select/deselect all rows on the current page or on all pages.

Student Name/ Student Number

This field displays students' Preferred Name and the Dtudent Number.

Status

This field displays the student's current status in your school.
Available only for Not Sent option.

Grade

This field displays the student's current Grade in your school.
Available only for Not Sent option.

Send to

This field indicates the school the student will be transferred to. It is copied from the Send Default Values section, Send to field. You are not allowed to change this value.
If you need to change the school, you will need to change the school in the Send Default values section and repeat the process.
Not Available for Not Sent option.

Track

This is the Track the student is transferred/registered in the ConEd school.
Not Available for Not Sent option.

Semester

This is the Semester the student is transferred to in the ConEd school.

Term

This is the Term the student is transferred to in the ConEd school.

Send

Click Send to start the transfer process for the selected student(s).

Undo Send

This button is only available when the Sent option is selected. Click Undo Send to undo the transfer for the selected student(s)
