Ecollect Forms/Enrollment Express 23.11.0.0

PowerSchool Ecollect Forms/Enrollment Express version 23.11.0.0 is available as of 11/5/2023.

In preparation for the forthcoming contact sequencing updates within PowerSchool SIS version PS_23.9.0.0, the Ecollect/Forms Enrollment Express team has made coinciding changes. These enhancements will be released in Ecollect Forms/Enrollment Express version EEC_23.9.0.0.
It is strongly recommended that customers proceed with upgrading their Ecollect Forms/ Enrollment Express software to version EEC_23.9.0.0 either before or at the same general time as upgrading PowerSchool SIS to version PS_23.9.0.0. This will prevent any potential issues related to contacts, form submission, and form approval.

Admin – Student Enrollment Status After Approval via SIS Pre-Registration

You now have the ability to customize student enrollment statuses within the system. When a pre-registration form submission receives approval, the student's enrollment status is automatically determined based on the configured settings.

To make these adjustments, follow these steps:

  • Navigate to System Management, then to Enrollment Express. Select Manage Student Enrollment Status.

  • From the Manage Student Enrollment Status page, you will have three enrollment status options: Dynamic, Pre-Registered, and Active. Dynamic is the default choice. You can modify this selection and submit changes.

If Dynamic is selected, a student’s enrollment status is now determined by the Years and Terms configuration in the district setup.

When a parent submits a Pre-registration form with an entry date within the current term and:

  • the submission is approved and a new student is created, the student is enrolled with an Active enrollment status.

  • the submission is approved and the student is merged with an inactive or transferred-out student record, the student’s enrollment status is changed to Active.

When a parent submits a Pre-registration form with an entry date for a future term and:

  • the submission is approved and a new student is created, the student is enrolled with a Pre-Registered enrollment status.

  • the submission is approved and the student is merged with an inactive or transferred-out student record, the student’s enrollment status is changed to Pre-Registered.

If Pre-Registered is selected, then regardless of the Entry Date in the submission and District Terms configuration:

  • When the submission is approved and a new student is created, the student is enrolled with a Pre-Registered enrollment status.

  • When the submission is approved and the student is merged with an inactive or transferred-out student record, the student’s enrollment status is changed to Pre-Registered.

If Active is selected, then regardless of the Entry Date in the submission and District Terms configuration:

  • When the submission is approved and a new student is created, the student is enrolled with an Active enrollment status.

  • When the submission is approved and the student is merged with an inactive or transferred-out student record, the student’s enrollment status is changed to Active.

Admin - Race Decline to Specify

When the administrator updated the label text within the ‘Race Decline to Specify' section of the PS SIS Federal Ethnicity and Race Settings page, Ecollect Forms/Enrollment Express failed to incorporate the updated text in the Race field. Instead, the 'Decline To State’ option was hard-coded within the Race field drop-down. This issue is now resolved.

Admin - SIS Pre-Registration Student Enrollment Status

When the administrator approved pre-registration for students using a Firefox browser, an issue arose where students were incorrectly enrolled as Active, despite their entry date being in the future. This issue is now resolved.

On the teacher portal within Form Report/Chart, the ‘Filter Responses’ page did not filter responses as expected. This issue has been resolved.
