Student Observations and Referrals

The Student Observations and Referrals page enables users to view and manage student observation records. This page displays a list of student observations and referrals. The page includes filters to narrow down the displayed records.

  • All incident dates filter enables you to filter observations by when they occurred.

  • All participants filter enables you to narrow results to specific students involved in observations.

  • All statuses filter enables you to view observations based on their current state:

    • Accepted: Observation changed from Teacher Referral to another incident type by the administrator.

    • Saved: Saved as just an observation.

    • Referred: Observation which is submitted as a referral.

    • Closed: Observation has been marked closed.

    • Returned: Observation sent back to the teacher for further review.

Steps to create an observation

  1. Select the type of student, if the student is from your class, select My Student and if the student is not from your class, select Any Student.

To select a student outside your class for an observation as, the Teachers May Choose Students Outside Their Classes must be enabled by the administrator at a district level in the Student Observation Setup page.

  1. Select one or more classes from which to select a student from the dropdown list. the class of the student from the dropdown list.

  2. Select the name of the student from the dropdown list.

  3. Click the Plus icon to associate a role for the participant and to add another student.

  4. Select the role of the participants.

  5. Select the Observation date and Observation time it occurred. was recorded.

  6. Select the time frame the incident had occurred from the dropdown list.

  7. Select the location of the incident from the dropdown list.

    • Enter a description for the location, if any.

  8. Enter a title for the observation.

  9. Enter a description for the observation.

  10. Under Remediation, select an action taken.

The list of actions displayed are set by the administrator on the Incident Codes and Subcodes page.

  1. Enter any comments for the observation.

  2. To save the observation as is, and not escalate it as a referral, click Save observation.

  3. To submit the observation as a referral to the admin, click Submit as referral.

To submit an observation as a referral, the Enable Student Observation Referrals by Teachers must be enabled by the administrator at a district level in the Student Observation Setup page.

  1. You can view the newly created observation in the Student Observations and Referrals page.

  2. Click Actions and select one of the options.

    • The Review details action enables you to view the complete information of an observation. Optionally, you can click the title of the observation from the Students Observations and Referrals grid to view the complete information.

    • The Close observation action enables you to mark an observation as completed. This is available only if the selected observation is in Saved status.

    • The Edit observation action enables you to modify the details of an existing observation. This is available only if the selected observation is in Saved or Returned status.

Edit an observation

  1. To edit an observation, click Edit observation.

  2. Make necessary changes or updates to the observation, then click Save observation or Submit as referral.

You can edit an observation only before it is submitted as a referral. Once submitted, it cannot be edited unless the referral is returned for more information by an administrator.

You can close the observation if no further updates are needed or if no additional action is required. This is available only if the selected observation is in Saved status.

Observation Details

The Observation details slider enables you to review all submitted information for an observation.

To view the details of an observation, click Review details.

  • The Status tab enables you to view the status of the observation. It also displays the feedback provided by the administrator if the observation was returned to the teacher.

  • The Participants tab enables you to view the student and the participants’ role associated with the observation.

  • The Details tab enables you to view the date, time, title, description, and location the incident occurred.

  • The Remediation tab enables you to view the actions taken for the observation. You can view the type of remediation recorded, such as detention, and any additional comments if provided. This enables you to verify that follow-up procedures have been documented.

  • The Outcomes tab enables you to view the name of the student, role assigned for the participant, and any behaviors and/or actions assigned to the participants by the Administrator.
