Ecollect Forms/Enrollment Express 23.5.0.0

PowerSchool Ecollect Forms/Enrollment Express version 23.5.0.0 is available as of 5/21/2023.

The Ecollect Forms/Enrollment Express 23.2.0.0 release and above includes important jQuery UI library updates. PowerSchool highly recommends all customers upgrade their Ecollect Forms and Enrollment Express plugins to version 23.2.0.0 or above as soon as possible. Failing to upgrade Ecollect Forms and Enrollment Express before upgrading to an upcoming PowerSchool SIS release will result in some features not functioning correctly.

Admin – Enable Enhanced UI for Ecollect Forms and Enrollment Express

Ecollect Forms/Enrollment Express customers need to install new plugin “Ecollect-Enhanced-UI” to access the Ecollect Forms/Enrollment Express links in the new PowerSchool SIS Enhanced User Interface (UI) navigation starting in version 23.5.0.0. The minimum SIS version required to install the plugin is 23.5.0.0.

To install the Ecollect Forms Enhanced UI plugin:

  • If you have PowerSchool SIS version is 23.5.0.0 or above and you perform an upgrade to Ecollect Forms/Enrollment Express version 23.5.0.0 or above, when you click Install/Upgrade on the Subscription Manager page, the Enhanced UI plugin is installed and automatically enabled.

  • Hosted customers who were upgraded to Enrollment Express/Ecollect Forms version 23.5.0.0 or above via the Auto Update option should follow these steps to install the Enhanced UI plugin for the first time:

    1. From the Start page, choose System, then Subscription Manager.

    2. In the Installation/Upgrade section, select the option to Install Ecollect-Enhanced-UI plugin.

      • This option is only visible if you have never installed the plugin; once installed, this option is no longer available.

    3. Click Install/Upgrade, then click Install.

      • Subsequent upgrades will upgrade this plugin like all other plugins.

  • Customers who upgraded to Ecollect Forms/Enrollment Express version 23.5.0.0 but have not upgraded to PowerSchool SIS version 23.5.0.0 will not be able to access the option to install the Enhanced UI plugin.

  • Customers who upgraded to PowerSchool SIS version 23.5.0.0 prior to upgrading to Ecollect Forms/Enrollment Express version 23.5.0.0 and turned on the Enhanced UI will not be able to access the Subscription Manager page in the enhanced UI navigation system without the Ecollect Forms Enhanced UI plugin.
    Those customers can access the Subscription Manager page as follows:

    • Turn off the Enhanced UI setting in PowerSchool SIS.

    • Complete the upgrade to Ecollect Forms/Enrollment Express version 23.5.0.0, including installing the new Enhanced UI plugin.

    • Turn on the Enhanced UI setting in PowerSchool SIS.
      OR

    • Access the Subscription Manager page directly to upgrade to Ecollect Forms/Enrollment Express version 23.5.0.0 and install the Enhanced UI plugin by typing in the following URL in your browser:
      https://<SIS_URL>/admin/ecollect/manage.html

Admin – Category Completion Report

A Choose Forms filter is now available on both the Teacher and Student category completion reports.

The filter field appears after you select a category. You can select forms from the filter dropdown or search for a form by typing in the name. The number of available forms depends on the category selection.

Select a form to add it to the filter field. If needed, select and add more forms.

Click Apply to generate the report results for the selected forms. The Apply button is disabled if no forms are selected.

When you export the report, the export file contains the filtered data.

Admin – Teacher Portal Form Builder Permission

Administrators can now enable or disable creating, editing, and deleting forms on the Teacher portal. Depending on whether the new PowerSchool SIS user interface is enabled, you can access the new configuration setting as follows:

  • [Old UI] From the Start Page, choose System, then Teacher Portal Permission under the Forms Configuration section.

  • [New UI] From the Start Page, choose System Management, Forms, then Manage Teacher Portal Permission.

To enable the feature, select the option to Enable the creation, editing, and deletion of forms on the Teacher Portal. This option is enabled by default.

To disable the feature, clear the option and click Submit. When the user logs in to the Teacher portal, they will no longer see the My Forms tab or have access to the New Forms, Edit, and Delete buttons. Prior to disabling this option, admins must ensure that any existing forms created by users on the Teacher portal are either deleted or unpublished.

Deprecation of Cloud Pre-Registration Process

The now legacy Pre-Registration process in the Cloud Enrollment portal is being deprecated. Starting July 1, 2022, all Pre-Registration forms in the Cloud Enrollment portal will only support the current year (i.e., 2022-2023) as the entry year, preventing the use of the Cloud Pre-Registration process for 2023-2024 and beyond. Additionally, the Cloud Enrollment portal itself will be fully deprecated and taken offline on June 30, 2023.  Any Cloud Pre-Registration data you wish to transfer to PowerSchool SIS should be transferred before this date.

For the 2023-2024 Pre-Registration season, which typically starts February-April 2023, the new Pre-Registration process in PowerSchool SIS must be used.
