Admin – Auto Update After Releases

Hosted customers can now opt in to automatically update their environment with each Ecollect Forms/Enrollment Express release.

• District and school administrators can enable the new Auto Update feature as follows:
  1. Select System from the Start Page, then select Auto Update under Forms Configuration.
  2. Select Automatically update Ecollect Forms/Enrollment Express upon each release and click Submit.
• The configuration setting is optional and unchecked by default.
• When this configuration is enabled, the environment is automatically updated to the latest version after a release: plugins are upgraded, and DB scripts are run automatically.
• When this configuration is not enabled, customers must still submit an upgrade request, but the plugin upgrade and DB scripts are run as part of a singular process.

Roll-Out Process

The required minimum versions for upgrading to Ecollect Forms/Enrollment Express version 23.1.0.0 with the improved upgrade process are:

• • PowerSchool SIS version 22.5.0.0 or higher
  • Ecollect Forms/Enrollment Express version 22.5.0.0 or higher

If your environment does not satisfy these minimum required versions, you can upgrade to Ecollect Forms/Enrollment Express version 23.1.0.0 using the conventional upgrade methods.

Hosted schools or districts can access the Auto Update configuration only after they are on Ecollect Forms/Enrollment Express version 23.1.0.0 or higher. Thus, all hosted schools or districts must still submit an upgrade request for Ecollect Forms/Enrollment Express version 23.1.0.0 but the upgrade to Ecollect Forms/Enrollment Express version 23.1.0.0 will use the new streamlined upgrade process as if Auto Update is disabled. Once hosted schools or districts are on Ecollect Forms/Enrollment Express version 23.1.0.0 or higher, they can opt in to enable auto updates for subsequent releases.

Use the following grid as a guide to understand which upgrade process applies to your hosted school or district.

Auto Update Configuration Timeframe

A list of hosted schools and districts that have Auto Update enabled will be pulled three (3) days before each release deployment. This list is used to perform auto updates during the release deployment. Thus, hosted schools or districts must ensure the Auto Update configuration is enabled or disabled three days prior to the release deployment. Changes to the Auto Update configuration less than three days prior to the release deployment will not be considered.

Admin – SIS Pre-Registration report order matches form order

When exporting the Pre-Registration report to a comma-separated or spreadsheet file, the form fields on the exported report now appear in the same order as the elements on the form itself.

Additionally, when an admin clicks the Columns button to select form fields for the report, the fields in the Columns modal appear in the same order as on the form. Fields selected for export are added to the pre-registration report in the same order as on the form.

The columns that appear by default on the pre-registration report appear in the same order as before (no changes).

Admin – Cloud Enrollment Portal

The Cloud Enrollment portal inadvertently gave users access to the 2023-2024 term. This issue was resolved. Additionally, any pending submissions associated with the Cloud Enrollment portal 2023-2024 pre-registration form can no longer be accessed.

Admin – SIS Pre-Registration Report

When the SIS pre-registration form had more than 100 options, the SIS pre-registration reports behaved inconsistently. This issue was resolved.
