Special Programs Enrollment

Students who are identified for special programs may be enrolled into the special program either individually or en masse.  

Note: Prior to 10.1.1, when adding a student to a program, a value of 0 was stored in the SpEnrollments.ID column. Now, a unique numeric value is stored to that column. To generate a unique ID for SpEnrollments records with ID = 0, run the Set Special Program Enrollment ID function via System > Special Operations. No code or password is required to run it.

Enroll a Student in a Special Program

  1. On the start page, search for and select a student.
  2. Under Enrollment, choose Special Programs
  3. Click New
  4. Use the following table to enter information in the fields:

    Enter any notes related to the student's participation in the special program (optional).

    Entry Date

    Enter the date the student entered the program using the format MM/DD/YYYY. If you do not use this format, an alert appears. If you submit the date with an incorrect format, the date field is submitted as a blank entry.

    Exit Date

    Do one of the following:

    • Leave blank until you know when the student is going to exit the program.
    • Enter the exit date (optional), which is the first day the student was not active in the program. Use the format MM/DD/YYYY. If you do not use this format, an alert appears. If you submit the date with an incorrect format, the date field is submitted as a blank entry.

    Exit Code

    Do one of the following:

    • Leave blank until you know when the student is going to exit the program.
    • Enter the code that describes why the students exited the program (optional).

    Program

    Choose the program from the pop-up menu.

    Note: For more information about the listed programs, click Program.

  5. Click Submit
  6. Click Back.
  7. To verify that you’ve enrolled the student into the special program, click Special Programs in the navigation menu on the left. The student's Special Programs page now displays the special program that the student has been enrolled into.

Update a Student's Special Program Enrollment

  1. On the start page, search for and select a student.
  2. Under Enrollment, choose Special Programs
  3. Click the student's entry date for the program you want to edit. 
  4. Edit information as needed.
  5. Click Submit

Unenroll a Student from a Special Program

  1. On the start page, search for and select a student.
  2. Under Enrollment, choose Special Programs
  3. Click the student's entry date for the program you want to delete. 
  4. Click Delete to delete the student from the program.

Mass Enroll Students in a Special Program

  1. On the start page, search for and select a group of students.
  2. Click Select By Hand.
  3. Deselect the checkbox in the header row to deselect all students.
  4. Select the checkbox next to each student you want to work with.
  5. Click Update Selection.
  6. Click the [Select Function] arrow and choose Mass Enroll Special Program
    Note: Alternatively, if you have a current selection of students, you can choose Special Functions under Functions in the main menu and then click Groups Functions.
  7. Use the following table to enter information in the fields:

    Program

    Choose the special program into which you want to enroll the selected students from the pop-up menu.

    Entry Date

    Enter the date the students entered the program using the format MM/DD/YYYY. If you do not use this format, an alert appears. If you submit the date with an incorrect format, the date field is submitted as a blank entry.

    • Leave blank until you know when the students are going to exit the program.

    • Enter the code that describes why the students exited the program (optional).

    Comment

    Enter any comments related to the student's participation in the special program. The comment appears on the Special Programs student page for each student.

  8. Click Submit
  9. To verify that you’ve enrolled the students into the special program:
    1. Click the PowerSchool logo.
    2. Under Current Student Selection, click one of the student's names.
    3. Click Special Programs in the navigation menu on the left, if needed.
