# Alumni Login

[Native login for alumni_Quick Guide.pdf](https://ps.powerschool-docs.com/__attachments/a_ede4de99085f4157a4d1a54efbd250b70699bd0fba938a0d5292131e5ea051ee/Native%2520login%2520for%2520alumni_Quick%2520Guide.pdf.md?cb=74a3a8f7401fbeac217dc3b86470fd30)

Alumni cannot use Clever or SAML SSO to log in to Naviance Student. Upon becoming alumni in Naviance, alumni students can log in to Naviance Student natively with a username and password. However, students need an active email address in their Naviance account to maintain their native login credentials.

* Because many schools and districts do not keep school email addresses active after students become alumni, students should set up their native login credentials before July 25 or your Student Information System (SIS) rollover date, whichever comes first.

* Students should be directed to change their email addresses after SSO is disabled for postgraduates and any automated data imports are paused. If students change their email before the automated import is paused, it may revert to their school email.

## Set up native login credentials for alumni

1. From the Naviance Student login page, select **Student**.

2. Click **Forgot your password?**

3. Enter an email address. This must be the same email address in the student's Naviance folder. Naviance sends an email to that address, which includes the student's username and temporary password.

4. Retrieve the email and follow the instructions to log in to Naviance Student natively with the username and temporary password included in the email.

5. Follow the prompts to set up a permanent password.

Students can continue to use SAML for SSO access to Naviance Student until they become alumni. They should note their username and password for future reference.

## Update alumni email addresses

Alumni need a valid email address on file in their Naviance account to use the Forgot your Password feature and to receive emails sent via Naviance. Postgraduate students should be directed to update their email address after SSO is disabled for them and any automated imports are paused.
For postgraduate students to update their email addresses, you must [give permission](https://ps.powerschool-docs.com/naviance/latest/select-optional-features.md#StudentEditPermissions) to alumni to do so.

1. From Naviance Student, select **About Me** and then choose **My Account**.

2. From the Contact card, click **Edit**.

3. Enter an email address.

4. Click **Save**.

If students do not have an active email address on file in their Naviance account, they cannot maintain their login credentials without help from the school. Naviance recommends giving Alumni the permissions to edit personal and demographic information, username, password, and email address so Alumni students can keep their information current and maintain their login credentials.

## Log in natively as an alumni

1. From the Naviance Student login page, select **Alumni**.

2. Enter the username and password.

3. Click **Continue**.

# Alumni Tracker

College outcomes for alumni students are a measure of student success for districts, schools, and state education agencies. Use Alumni Tracker in Naviance to track alumni data surrounding college persistence rates and compare actual alumni outcomes to planned outcomes using Naviance reports.

With Alumni Tracker, you can send your school's alumni data to the National Student Clearinghouse (NSC) via Naviance without needing to complete a data export, format the file, and send it to the NSC. When alumni outcomes are ready, the NSC data automatically populates in Naviance without your needing to import the data.
If your school or district does not have an Alumni Tracker subscription, you can [import](https://ps.powerschool-docs.com/naviance/latest/manual-data-imports.md) reports from the National Student Clearinghouse into Naviance.

To use Alumni Tracker:

1. [Assign](https://ps.powerschool-docs.com/naviance/latest/set-up-alumni-tracker.md#Assign-Staff-User-Role-Permissions) staff user role permissions to staff.

2. [Ensure](https://ps.powerschool-docs.com/naviance/latest/set-up-alumni-tracker.md#Ensure-Attributes-are-in-Naviance) the required student attributes are in Naviance.

3. [Send](https://ps.powerschool-docs.com/naviance/latest/set-up-alumni-tracker.md#Send-Data-to-the-NSC) alumni data to the NSC.

4. [Review](https://ps.powerschool-docs.com/naviance/latest/track-alumni-data.md) alumni data returned from the NSC.

# Clever Staff Integration

All Naviance District Edition clients using Clever can integrate data with Naviance to create staff records. The Clever integration for staff supports multiuser functionality.

If setting up a Clever staff integration for the first time:

* Confirm that you have a district Naviance account. Contact your account manager if you do not have a district Naviance account.

* Set up data-sharing permissions in Clever.

## Prepare staff data in Clever

1. Confirm the data in Naviance and Clever is aligned before starting the Clever staff integration process in Naviance.

2. Ensure all staff who need Naviance accounts are loaded in to Clever.

3. Ensure school staff in Clever are assigned the Teacher or Staff user type.

   1. Staff who are teachers should be synced regularly with Clever.

   2. If staff users are assigned both the Teacher and Staff user type, Naviance creates the same user twice with two different roles mapped.

4. Ensure all district staff in Clever are assigned the District Admins user type. By default, all users added as District Admins to Clever have admin access to Clever.

5. Check Clever settings to confirm that teachers are shared by schools.

6. Check the staff data fields available to Naviance via Clever's API.

7. Verify that staff in Clever have assigned titles, so the Naviance user role and function are set correctly. Enter titles in Clever for staff without them assigned.

8. Create title-to-role mapping by identifying the titles and associated keywords corresponding with each user role in Naviance.

9. Add any staff with the Teacher user type to Sections if they should have access to multiple schools in Naviance. Staff with the Staff user type must be added to sections manually if access to multiple schools is needed.

10. Keep track of staff who will never have an account in Clever to later specify roles for them during the test import to ensure they are not marked as inactive.

## Prepare Staff data in Naviance

1. Create a No Schools district zone in Naviance.

2. Compare the employee ID in Naviance for several staff users to verify the format is consistent with

   what is in Clever.

   * If the format is the same as Clever, no other action is needed.

   * If the format is different from Clever, update the employee IDs in Naviance to match those in Clever.

Employee IDs associate students with counselors during the import process in Naviance. If you are updating employee IDs, make sure to update any SchoolSync student imports with the updated employee ID or else they will not be linked during import.

## Configure the Clever staff integration

1. From Naviance District Edition, navigate to the **gear ** icon, and then select **Setup**.

# Clever Student Integration

All Naviance District Edition clients who use Clever can set up data integration with Naviance to create student records and ensure student data is correct via turnkey data management. The Clever Integration supports the import of weighted and unweighted GPA, graduation year, district username, and more. You can continue using SchoolSync™ to set up an automated data import of data fields not supported by Clever.

## Prepare for the Clever integration

* Confirm that you have a district Naviance account. Contact your account manager if you do not have a district Naviance account.

* Set up data-sharing permissions in Clever.

If you are migrating to the new Clever integration from a PowerSchool data integration, you must:

* Map the student ID to the same field in both the old and the new integrations to avoid issues with your student data when switching integrations. For example, if you mapped student ID to SIS ID in the original integration, you must map student ID to SIS ID in the new integration. Your student data will be scrambled if you do not map student ID to the same field in both integrations.

  * The SIS ID and Clever ID are two required fields used to identify and match existing students. You must verify the information in Naviance and ensure the matching SIS ID is the same if you are switching from PowerSchool SIS integration to the Clever student integration. PowerSchool recommends taking screenshots of the **Matching fields** page of your current PowerSchool SIS student data integration to ensure correct matching of the student ID in your Clever integration.

* [Reset the SIS configuration](https://ps.powerschool-docs.com/naviance/latest/clever-student-integration.md#CleverStudentIntegration-CleverDataIntegrationSetup).

# College Planning in Naviance

## Search for colleges

The Naviance college database contains information about thousands of postsecondary institutions worldwide, including all accredited two- and four-year colleges in the United States. College data in Naviance is updated quarterly.
Save college search criteria if you regularly search for colleges with similar criteria.
If you cannot find a college in our database, search for the college by location or part of the college name, as the institution's official name differs from the one you commonly use. For example, search for Berkeley instead of UCB or UC Berkeley. Additionally, if the college you are searching for is a division of a larger university, try searching for that university.

1. Navigate to **Colleges** and select **College Search**.

2. Enter a name, select a state or a country to filter the list of colleges, and click **Search**.

3. Optionally, select **Advanced Search**.

   1. Select a category.

   2. Select a category and choose the search criteria.

   3. Click **Show Matches**.

   4. To save your college search, select **save search** from the **Number of matches** . Enter a **Search Name** and click **Save.**

   5. Optionally, choose **pick** for selected colleges to add them to your hand-picked list. Then, click **Compare**to review the accepted averages from your school.

## Use College Match ActiveMatch

College Match ActiveMatch gives students an opportunity to find colleges and universities that are both a match and a fit.

* The college offers something the student wants in a college experience. The college:

  * Is comparable to similar colleges the student is considering.

  * Offers a program in which the student has expressed an interest.

* The student aligns with the type of student the institution wants to recruit, such as academic ability and location. The student:

  * Adds a college to their Colleges I'm Thinking About or Colleges I'm Applying To lists.

  * Searches for a specific major [using SuperMatch](https://ps.powerschool-docs.com/naviance/latest/college-planning-in-naviance-student.md#SuperMatch).

A college may fit a student's interest based upon other colleges in the student's lists of Colleges I'm Applying To and Colleges I'm Thinking About and majors the student searched when completing a SuperMatch college search. When a college is a match and a fit, it will be listed on the Colleges Looking For Students Like You page in Naviance Student.

* Students can select the college name or major to learn more about how the school fits their interests.

* Students can Favorite the college to add it to their list of Colleges I'm Thinking About, or students can indicate that they are Not Interested to remove the college from the list.

* Students are asked if they want to connect with and receive information directly from the college when they favorite a college.

  * By default, the student's name, school, and class year will be shared if the student connects with the institution.

  * Students must share either their email, address, or phone number to Connect.

  * Students can choose to share their gender, GPA, ethnicity, or majors of interest.

* Provides a clear understanding of why specific colleges are listed and how those colleges align with their interests.

* Offers college matches driven by students' interest and their intentional actions taken within Naviance Student and not the other way around.

* Gives students control of what, if any, information they share with the colleges if they decide to start communication.

# Configure the OneRoster integration

Before configuring the OneRoster integration, you must [set up SFTP](https://ps.powerschool-docs.com/naviance/latest/secure-file-transfer-protocol-sftp.md).
If you have SFTP set up for your Course Planner integration, you do not need to configure SFTP again.

## Configure the OneRoster staff integration

1. From Naviance District Edition, navigate to **Account settings**  (gear icon), and then select **Setup**.

2. From the Naviance District Administration page, choose **OneRoster Data Integration**.

3. From the OneRoster data integration page, select **Configure**.

4. Follow the three steps to configure the OneRoster integration:

   * OneRoster integration setup

   * OneRoster data integration settings

   * Manage email notifications

### OneRoster integration setup

1. From the Configure page, select **OneRoster integration setup**.

2. Click **Edit OneRoster Integration Settings**.

3. Click **Choose File** and select the ZIP file to upload.

4. Optionally, click **Reset current configuration** if you have a Clever or PowerSchool data integration set up in Naviance.

5. Click **Upload**.

6. Map the schools.

   1. [Review the matches](https://ps.powerschool-docs.com/naviance/latest/oneroster-staff-field-mapping.md) for accuracy. Naviance attempts to match the SIS school to the corresponding Naviance school.

   2. To change the matching, choose the option from the SIS school list that matches the Naviance school.

   3. Optionally, choose **Do not import** from the SIS school list if you do not want to import data for the school.

   4. Click **Save** to return to the Configuration page.

### OneRoster integration settings

1. From the Configure page, select **OneRoster integration settings**.

2. From Actions, click **edit**for the selected data type.

3. Map the fields.

   1. Review the matches for accuracy. Naviance attempts to match the SIS data field to the corresponding Naviance Field.

      1. To fetch only teachers in a staff import, map userID to teacher in the Naviance Role column.

   2. To change the matching, choose the option from the Matching SIS data field list that matches the Naviance field.

   3. Optionally, choose **Do not import** from the Matching OneRoster Field if you do not want to import a non-required data field.

   4. Click **Next** to navigate to the School mapping page or select **Save and Close** to return to the Configuration page. Optionally, select **Save** to ensure your work is saved before navigating away from the page.

4. Define codes.

   1. Review matches for accuracy.

   2. Select a **SIS code** from the list for each Naviance field. Optionally, select automap for teacher-Teacher(D) role.

   3. Click **Next**.

5. Set the import rules.

   1. Choose the available schools.

   2. Optionally, select the user roles to make users assigned those roles in Naviance inactive.

   3. Optionally, choose to overwrite data in Naviance if it is blank in your imported data.

   4. Optionally, choose to include only mapped roles in the log file.

   5. Click **Next**.

6. Test or start the import.

   1. Review the Import summary to ensure you have addressed all steps.

   2. Before starting the import, click **Test import** to validate expected results, check for errors, and review duplicate accounts. Run a test import as often as needed before the first import.

   3. Select **Start import** . The status displays **Validation in progress** until the import is ready to begin.

   4. Select **Save and Close** to return to the **Configuration** page. Optionally, select **Save** to ensure your work is saved before navigating away from the page.

# Configure the PowerSchool Data Integration

Follow the three steps to configure your data integration.

1. [Integration setup](#)

2. [Import settings](https://ps.powerschool-docs.com/naviance/latest/configure-the-powerschool-data-integration.md#SIS-import-settings)

3. [Manage email notifications](https://ps.powerschool-docs.com/naviance/latest/configure-the-powerschool-data-integration.md#Manage-email-notifications)

You must complete the **SIS Integration Setup**first. To receive an email notification for your first import, Manage Email Notifications next. Otherwise, complete the steps in order.
Suppose you are migrating from a Clever student integration to a PowerSchool student data integration. In that case, you must map the student ID to the same field in both the old and the new integrations to avoid issues with your student data when switching integrations. For example, if you mapped student ID to SIS ID in the original integration, you must map student ID to SIS ID in the new integration.

* If you do not map student ID to the same field in both integrations, your student data will be scrambled.

* The SIS ID is a required field to identify and match existing students. You must verify the information in Naviance and ensure the matching SIS ID is the same if you are switching from Clever to PowerSchool SIS integration.

**Migrate from a Clever student integration to a PowerSchool student data integration**

1. Take screenshots of the Matching fields page of your current Clever student data integration to ensure using the same field mapping in the PowerSchool SIS integration.

2. Remove fields such as weighted and unweighted GPA from your automated data import with SchoolSync™, if you will import these fields using the PowerSchool SIS integration.

3. [Reset the Configuration](https://ps.powerschool-docs.com/naviance/latest/configure-the-powerschool-data-integration.md#IntegrationSettings) in Naviance.

## SIS integration setup

The SIS integration setup has two parts:

* Integration settings

* School matching

### Integration settings

1. From Naviance District Edition, navigate to the **gear** icon and select **Setup**.

2. Select **PowerSchool Data Integration**.

3. Click **Configure**.

4. From the Configure page, select **SIS Integration Setup**.

5. Click **Edit SIS Integration**.

6. From the SIS Integration Settings, select an option from the **Select SIS** list.

   * If setting up a student data integration:

     * [Install](/naviance/latest/prepare-for-the-student-data-integration.md#InstallPlugin) the Naviance plugin when using PowerSchool SIS version 21.10 or earlier.

   * If setting up a staff data integration:

     * Clients with the Naviance Plugin of 1.2.4 in SIS are auto-upgraded to the latest plugin of 1.2.14.

     * Clients with plugin versions below the base Naviance plugin or the required SIS version of 22.7.0 must upgrade the Naviance plugin.

7. Enter the credentials you saved when enabling the Naviance integration in your SIS.

8. If you currently have a Clever or PowerSchool student data Integration set up in Naviance, you must click **Reset Configuration** before continuing with the setup to ensure a successful student data import. Your existing Naviance data is not deleted, but your automated sync will be disabled.

9. Click **Test and Save** , and then refresh the web page. If the connection is successful, the **SIS Integration Status** displays **Connected**.

### School matching

After you complete the integration and make the connection, match the schools between your SIS and Naviance.

1. Select the **SIS School** from each list that aligns with the Naviance school name.

2. Click **Save**. Every school, active and inactive, is shared with Naviance to provide a comprehensive selection list.

## SIS import settings

Set up the import for your integration between Naviance and PowerSchool products based on data type.

1. From Naviance District Edition, go to the **gear** icon, then select **Setup**.

2. From the **Naviance District Administration** page, choose **PowerSchool Data Integration**.

3. Click **Configure**.

4. From the **Configure** page, select **SIS Import Settings**. Until you create a connection for the first time, all data type statuses display Disabled. All data types are listed, including those planned for future releases.

5. On the **SIS Import Settings** page, click the **pencil** icon for selected data type.

There are four settings:

* Match Fields

* Define Codes

* Sync Settings

* Test / Start Import

### Match fields

Before matching fields, note the following:

* Naviance automatically matches the most used fields in the SIS.

* Do not use the Data Import feature in Naviance for data fields matched here.

* Do Not Import is an option for non-required fields.

* Add import fields not on the Match Fields page via [a manual data import](https://ps.powerschool-docs.com/naviance/latest/manual-data-imports.md) or via [SchoolSync](https://ps.powerschool-docs.com/naviance/latest/schoolsync.md).

* For a PowerSchool student data integration, the SIS fields of Students.FedEthnicity + StudentRace.RaceCD are used together by default to update the Ethnicity field in Naviance.

* If you plan to use single sign-on (SSO) with students, you must import the data fields necessary for SSO setup. Ensure the Email and Federated ID are consistent with the IDP.

  * Username is a required field for student SSO and Alumni Login.

  * Only match this field if your students use SSO, log in to Naviance directly, or if alumni log in to Naviance directly.

  * For more information on managing student transition to Alumni, review the Alumni Management article.

Match the SIS data field with the corresponding field in Naviance.

1. Choose an option from the **Matching SIS Data Field** list to match the **Naviance Field**.

2. Click **Next** to go to the **Define Codes** page. Optionally, click **Save and Close** to return to the **Configuration** page, or click **Save** to save your work before moving on to the next part of the wizard.

### Define codes

1. Review the list of possible values for each code and indicate how they are presented in your data. The data fields selected for import in the last step determine the options.

2. Click the**Select SIS Codes** field and identify the code used in your SIS that matches the Naviance code.

3. Select **Next** . If you click **Save and Close** , you will be returned to the **Configuration** page. Click **Save** to ensure your work is saved before moving to the next part of the wizard.

### Sync settings

Use these settings to determine the schools where the sync will be available, how often the data updates, and the rules around the import.
Sync Settings are not applicable for a course catalog import.

1. From the **Available at Schools**section:

   * Select **All Mapped Schools** if the automated import will happen for all mapped schools.

   * Choose **Specify Schools and select specific schools from the list**if the import will only occur for certain schools.

2. From the**Data Update Frequency** section, choose an option from the list to determine how often the data share between Naviance and your SIS occurs.

3. Select an option from the **Import Rules** section.

   * Select **Include only mapped roles in the log file** if your district has a large number of roles that are not being mapped from the SIS. To troubleshoot, audit all roles from your SIS or find staff members who are not included in the sync and do not select this option.

   * Select **Remove students from groups if not in SIS** to keep group membership synced with PS SIS, ensuring it remains the source of truth.

   * Select **Include only mapped schools in the log file** if your district has a large number of schools that are not being mapped from the SIS.

4. Select **Next** . If you click **Save and Close** , you will be returned to the **Configuration** page. Clicking **Save**ensures that your work is saved before moving to the next part of the wizard.

### Test / Start import

Before starting the import, review the**Import Summary** to ensure you have addressed all steps.

1. Click **Start Import**.

   * The status displays **Validation in Progress** until the import is ready to begin.

   * Naviance processes imports immediately.

2. Click **Done**.

3. From the **PowerSchool Data Integration** page, click **Configure** to return to the configuration settings.

When importing staff data, an email will be automatically sent to staff when their account is created, so they can set up their Naviance ID.

## Manage email notifications

Decide who will receive import status notifications for each data type. The email Subject includes the import status, and the email message includes an Import Summary and a link to the Import log for more details.

1. From Naviance District Edition, go to the **gear** icon, then select **Setup**.

2. From the **Naviance District Administration** page, choose **PowerSchool Data Integration**.

3. Click **Configure**.

4. From the configuration settings, select **Manage Email Notifications**.

5. Enter an email address in the **Add Email Recipient(s)**field.

6. Optionally, click the **pencil**icon to edit the recipient's information. If adding multiple email addresses, separate the addresses with a comma.

7. Click **Add**.

## PowerSchool data integration page

Access and manage automated imports that have started or are complete.

1. From Naviance District Edition, go to the **gear** icon, then select **Setup**.

2. From the **Naviance District Administration** page, choose **PowerSchool Data Integration**.

3. Review the import status and any failures that may have occurred.

   * Select **View Log** to access an import Summary and Export Log, which includes the original file for troubleshooting. To review a log more than 30 days old, rerun the import.

   * Click **Undo**to inactivate any student records created by the import. Student records with fields updated via a manual update or SchoolSync will not be undone. Undo is only available for the last student import completed within the past 72 hours.

Review the alerts to resolve any duplicate student records or missing fields.

### Match duplicate records:

* If the potential matches are not correct, select **Create Record** to create the record based on the information in eSchoolPlus SIS.

* If one of the potential matches is correct, select **Match** to match the eSchoolPlus SIS record with the Naviance record.

* if you select an option by mistake, select **Cancel Match** to un-match the record. This option is only available before you process the updates.

* Click **Process All Updates** to create and match records according to your selections. Unmatched duplicate records are not imported. These records remain in the Resolve Alerts section until you match the records and Process All Updates.

## Leverage SSO for PowerSchool or eSchoolPlus SIS integration

This option is not applicable for staff or course data integrations

You must set up SAML for student SSO. SAML setup supports the following SSO methods:

* Google SSO (Google Waffle)

* ClassLink SSO, using your preferred IDP such as Google

* Clever SSO, using your preferred IDP such as Google

  * Clever SSO uses an external link in Clever, with student rostering via the eSchoolPlus SIS. This is not the Naviance-Clever integration.

  * The SAML connection is created in Naviance and then you will use the External Link feature in Clever to add Naviance.

  * To access the Naviance link that is needed for the Clever external link feature, set up student SAML and use the Bookmark URL.

# cURL Statement Errors

During the process of setting up cURL for a school or district, you may encounter some of these errors due to invalid formatting.

## Protocol https not supported or disabled in libcurl.

Check what version of cURL is being used. The version may be wrong for the operating system or it may be outdated.

## Invalid account, username, or key.

When you set up cURL at the school level, make sure you have a school-level account and use the account name, user name, and the data import key listed on your data import page when you log in to your account.

If you are setting up cURL at the district level, use the district account name, user name, and import key.

## Cannot find code mappings.

You encounter this error when there is a field that has custom mapping requirements that have not been set up such as home rooms, student groups, gender, counselor ID, and ethnicity. Before importing these fields, set the values in the system.

## Could not open file.

This error occurs when the path location for your file is incorrect or invalid. Macintosh users must list the file in the folder.

## Could not resolve Host.

This error occurs if you have spaces, misspellings or incorrect file path. Make sure you do not have -F in front of the web service address, which is listed at the end of each statement.

## No URL specified.

This error occurs when you are pointing to the wrong account. For example, you are trying to set up school level cURL and you are preparing a statement for the district level cURL.

## '-F' is not recognized as an internal or external command, operable program, or batch file.

This error occurs:

* When you have extra spaces or a lack of spaces between sections in the statement.

* If you have hard returns in your statement.

The curl file should have a space before and after --F for each of the sections and no hard returns.

## 'Https:' is not recognized as an internal or external command, operable program, or batch file.

This error happens when you have hard returns in your statement or if you have used spaces instead of underscores.

## Error setting certificate verify locations.

The certificate has an issue. Download the CACERT.PEM file again.

## Cannot find state.

This error is a specific error relating to home rooms.

* Make sure home rooms are set up in all schools.

* If one of the schools is missing home rooms, then the cURL import fails.

* Check for duplicate home rooms

## You must complete a manual import or analysis for this data type before scheduling an automatic import.

Check the district or school account to ensure a manual import was completed to map the fields in your file to the correct fields in Naviance.

Check to make sure that you have entered the correct file type in the cURL statement.

## Your account is not active.

Make sure that you are logging in to the correct account.

* You cannot set up cURL for the school level as a district user.

* You must have a school user account to set up cURL at the school level.

Ensure you are creating the correct statement for your account type.

## Missing state exam code.

This error occurs when in the cURL statement, State_exam_code is misspelled or there is no valid code listed for the state exam code. Within the cURL statement, the use of underscores is mandatory because cURL is DOS based.

## Warning: Illegally formatted input field Option -F is badly used here.

This error means that there may be an extra space in one of the sections, for example: -F username =Naviance_importer

The space behind username gives you this error.
